About The Position

The Purchasing and Inventory Clerk will be responsible for supporting the Petroleum Department in inventory control and the processing of purchasing transactions. The person will work closely with the Petroleum Department, the Shipping and Receiving Department, and suppliers to ensure product availability and adherence to quality standards.

Requirements

  • High School Diploma (minimum requirement).
  • Minimum of 2 to 4 years of relevant experience in purchasing, inventory management, or logistics.
  • Proficiency with computer applications, including Excel and purchasing/inventory management software.
  • Ability to manage multiple tasks independently.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, attention to detail, and accuracy.
  • Ability to work effectively in a team environment and build strong professional relationships.
  • Bilingual: French and English.
  • Class 5 driver's license required.

Nice To Haves

  • College Diploma (DEC), Vocational Diploma (DEP), or equivalent in a related field (an asset).

Responsibilities

  • Work collaboratively with various departments, supervisors, and personnel within the Petroleum Department.
  • Review purchase requests for accuracy and verify stock availability before processing orders.
  • Prepare purchase orders.
  • Create new items in the inventory management system.
  • Process purchases according to established policies and procedures.
  • Research and negotiate the best pricing.
  • Follow up on back orders (BOs).
  • Coordinate delivery schedules with the Shipping and Receiving Department and suppliers.
  • Ensure the accuracy of orders upon receipt.
  • Assist with product returns as needed.
  • Help maintain purchasing records, reports, and price lists.
  • Monitor inventory levels as items are issued from stock in the inventory management system.
  • Compile inventory reports, recording quantities, descriptions, and values of available items in the inventory management system.
  • Establish minimum and maximum stock levels (Min/Max) in the inventory management system based on purchasing history.
  • Prepare replenishment orders to maintain required inventory levels.
  • Reconcile system-generated inventory records with physical inventory counts.
  • Prepare orders and shipping documentation for deliveries to various sites.
  • Track shipments to ensure receipt confirmation at destination and update shipment status in the management system.
