Requirements

  • Two to five years of experience in commercial real estate, leasing, brokerage, property management, asset management, lease administration, or a related field.
  • Working knowledge of commercial leases, tenant billing, CAM reconciliations, operating expense recoveries, and real estate tax billings.
  • Strong financial, analytical, organizational, reporting, communication, and problem-solving skills.
  • Advanced Microsoft Excel proficiency and comfort working with property-level financial information.
  • Ability to manage multiple properties, deadlines, tenant matters, and competing priorities.
  • Ability and willingness to travel periodically within the portfolio.

Nice To Haves

  • Bachelor’s degree in Real Estate, Finance, Accounting, Business, Economics, or a related field.
  • Commercial brokerage or leasing experience.
  • Experience with Yardi, RentCafe, or comparable property management and tenant systems.
  • Exposure to acquisitions, dispositions, refinancing, lender reporting, or due diligence.

Responsibilities

  • Oversees the operational, financial, and leasing performance of the company’s commercial and mixed-use portfolio.
  • Serves as a primary liaison among tenants, ownership, brokers, property management, accounting, contractors, and vendors to support occupancy, tenant retention, efficient operations, and asset value.
  • Supports the Asset Management team with budgeting, reporting, financial analysis, capital planning, due diligence, refinancing, acquisitions, dispositions, and other strategic initiatives.
  • Conduct all business in accordance with The Habitat Company's policies and procedures, Fair Housing, Americans with Disabilities Act and all other laws pertaining to apartments.
  • Partner with leasing brokers to market vacancies and monitor tours, proposals, leasing pipelines, competing properties, and market conditions.
  • Review proposals, letters of intent, lease drafts, and key economic terms, including rent, concessions, commissions, and tenant improvement requirements.
  • Coordinate space tours, lease execution, tenant onboarding, renewals, expansions, move-outs, and retention efforts.
  • Serve as a primary tenant contact, maintain proactive communication, and coordinate prompt resolution of operational concerns.
  • Identify opportunities to improve tenant mix, increase revenue, reduce vacancy downtime, and address tenant retention risks.
  • Maintain working knowledge of commercial leases, amendments, renewals, and tenant obligations.
  • Maintain lease abstracts, tenant files, certificates, correspondence, and critical-date tracking.
  • Enter and maintain leases, amendments, rent schedules, options, escalations, and other key terms in Yardi.
  • Set up commercial tenants in RentCafe and coordinate billing, access, and tenant-facing system requirements.
  • Track expirations, options, rent adjustments, notice deadlines, tenant improvement obligations, reimbursements, abatements, and other material lease provisions.
  • Review rent rolls, tenant ledgers, billing schedules, receivables, and collection activity; coordinate resolution of discrepancies and tenant account issues.
  • Monitor CAM reconciliations, operating expense recoveries, and real estate tax billings for accuracy and compliance with lease requirements.
  • Assist with annual operating and capital budgets, commercial revenue forecasts, monthly financial reviews, and variance analysis.
  • Conduct property visits and coordinate tenant-impacting maintenance, life-safety, access, signage, utility, and building-operation matters.
  • Assist with capital and tenant improvement projects, including scopes, bids, contracts, schedules, budgets, reimbursements, and completion tracking.
  • Support property business plans, reforecasts, capital planning, cash-flow forecasting, and strategic portfolio initiatives.
  • Prepare recurring and ad hoc reporting on occupancy, leasing, renewals, receivables, recoveries, capital projects, and financial performance.
  • Perform lease, market-rent, financial, and operational analyses to support decision-making.
  • Assist with ownership and lender reporting, debt compliance, refinancing, acquisitions, dispositions, and due diligence.
  • Support special projects, process improvements, data cleanup, tracking tools, and timely completion of assigned action items.
