This role plays a vital part in ensuring smooth daily operations within the commercial service HVAC department. The ideal candidate will be a detail-driven communicator who thrives in a fast-paced environment and is passionate about supporting technicians, customers, and project timelines.

Requirements

  • Excellent communication and time management skills.
  • Knowledge of permit and inspection requirement for HVAC.
  • Adhere to confidentiality.
  • Strong attention to detail and ability to manage competing priorities.
  • Comfortable working with spreadsheets and scheduling tools.
  • High school diploma or equivalent.
  • 2+ years of experience in HVAC industry scheduling/coordinating.

Responsibilities

  • Coordinate daily scheduling for service calls and installations.
  • Use Service Titan to manage jobs, assign technicians, and track progress.
  • Maintain communication with field teams, builders, contractors, homeowners, vendors, and office personnel to ensure timelines are met.
  • Monitor technician timesheets and job notes, assisting with payroll input and accuracy.
  • Order locates, request permits, and manages documentation needed for project compliance.
  • Update project statuses, close out jobs, and ensure accurate billing and invoicing.
  • Support bonus tracking, job documentation, and follow ups for homeowners’ communication.
  • Track inspections, permits, and warranty work across job types.
  • Other duties as assigned.
