The Commercial Endorsements Contracts Administrator will support the Commercial Endorsements Department, which focuses on creating partnership opportunities between CAA clients and brands, startups, ad agencies, and other buyers across traditional advertising, digital media, PR, and activations to enhance client personal brands.

Requirements

  • Bachelor's degree, law degree, or paralegal certificate.
  • 1-4 years of experience at a law firm and/or in-house legal department, ideally with experience in contracting and related transactions.
  • If no experience, a general interest in learning about branding and the commercial endorsements industry is vital.
  • Excellent written and oral communication skills.
  • Strong organizational skills and attention to detail/accuracy.
  • Ability to manage time effectively, multitask in a fast-paced environment, take instruction, and work independently.
  • Flexibility to support business with shifting priorities and ability to handle privileged, confidential, and sensitive information professionally.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and Adobe Acrobat.
  • Experience with and understanding of client services.
  • Desire to be part of an organization that values teamwork and taking care of each other.
  • Passion for creative problem-solving and solutions.

Responsibilities

  • Manage buyer grids, notating and organizing all deals by buyers.
  • Maintain and update contract templates and boilerplate clauses using pre-approved language.
  • Collaborate cross-functionally with music/digital departments and the data team to gather information and proactively identify potential conflicts with endorsement deals, escalating them to agents and Business Affairs Executives.
  • Manage fully executed deals by serving as bookkeeper, establishing a tracking database and operational system to record deals and track missing information.
  • Update the roster by inserting/deleting current deals for all roster clients.
  • Respond promptly to requests from agents or BA executives to prepare drafts and review agreements, customizing language as appropriate.
  • Ensure the commercial endorsements exclusivity grid remains up-to-date for agents to have accurate information on client availability by category.
  • Manage a heavy volume of deal tracking, ensuring accuracy and timeliness.
  • Track the status of all offers, proactively following up with agents and coordinators to ensure contracts are entered into the commercial endorsements exclusivity database to identify and resolve potential conflicts.
  • Coordinate with General Counsel on NDA requests and act as a liaison between General Counsel and buyers to resolve contractual term changes.
  • Draft escrow agreements based on legal department-approved templates.
  • Send agreements to appropriate parties for execution and ensure client contact information is up-to-date.
  • Act as an internal and external point of contact for deal-related inquiries regarding contract language, escalating to the appropriate Commercial Endorsements executive when necessary.
  • Support team efficiency by developing, maintaining, and updating contract management systems and charts, organizing e-files, and managing document storage systems.
  • Perform other various related tasks and special projects as assigned, including general administrative support.
