We are seeking a detail-oriented and highly organized Commercial Coordinator to join our Aftermarket team in Fort Worth, TX. In this full-time, in-office role, you will support the aftermarket business by coordinating scheduling, order processing, customer support, and collections — working closely with technicians, vendors, customers, and internal teams to ensure jobs, orders, and accounts run smoothly and on time. The ideal candidate thrives in a fast-paced environment and demonstrates exceptional communication, organization, and problem-solving skills.

Requirements

  • Previous scheduling, dispatching, or customer-facing coordination experience, ideally in construction, trades, or service-based industries
  • Prior experience with customer service over the phone
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Ability to work effectively under pressure and manage multiple priorities
  • Proficiency in scheduling and CRM software (ServiceTitan, Salesforce, or similar tools a plus)
  • Strong computer literacy, including confident use of email and standard office applications

Responsibilities

  • Schedule and dispatch technicians for aftermarket service and install jobs based on skill set, location, and project timelines
  • Monitor job progress and adjust schedules as needed to meet customer expectations and deadlines
  • Communicate with customers regarding scheduling updates, arrival times, and reschedules
  • Maintain and update scheduling software with current job statuses and technician availability
  • Process purchase orders and customer orders accurately and efficiently
  • Maintain open communication with vendors and customers to keep them informed of material ETAs and order status
  • Track orders from entry through fulfillment, following up on delays or discrepancies
  • Coordinate with vendors/suppliers on parts availability, lead times, and pricing
  • Serve as a primary point of contact for aftermarket customers via phone and email
  • Respond to customer inquiries regarding orders, scheduling, service status, and invoicing
  • Resolve customer issues promptly and professionally, escalating complex matters as needed
  • Monitor accounts receivable for the aftermarket portfolio and follow up on past-due balances
  • Communicate proactively and professionally with customers regarding outstanding invoices
  • Coordinate with accounting/finance to resolve billing discrepancies
  • Collaborate with project managers, sales, and operations teams to ensure accurate job documentation and timelines
  • Assist in managing workload priorities and technician capacity
  • Provide administrative support as needed to help the department run smoothly
  • Other job duties as assigned
