About The Position

The Collision Center Secretary is the front-facing administrative support for Ford of Hialeah's collision center. This role is responsible for greeting customers, managing communications, processing paperwork, and ensuring the administrative side of the collision center runs smoothly and efficiently. The ideal candidate is professional, detail-oriented, and able to handle a busy customer-facing environment with grace and efficiency.

Requirements

  • 2–4 years of administrative, receptionist, or customer service experience
  • Experience with Tekion or similar DMS is a plus
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Comfortable working in a fast-paced, customer-facing environment
  • Proficiency in Microsoft Office Suite

Nice To Haves

  • Collision center or dealership experience strongly preferred
  • Bilingual (English/Spanish) strongly preferred given our South Florida market

Responsibilities

  • Greet customers upon arrival and provide a welcoming and professional first impression
  • Answer and direct phone calls, emails, and inquiries related to collision center repairs and appointments
  • Schedule vehicle drop-offs, repair appointments, and customer follow-up calls
  • Assist customers with paperwork, rental car coordination, and insurance documentation
  • Open, process, and close repair orders accurately in Tekion DMS
  • Communicate repair status updates to customers on behalf of the collision center team
  • Maintain organized filing systems for repair orders, estimates, and insurance documents
  • Coordinate with insurance adjusters, rental car companies, and vendors as needed
  • Support the Collision Center Manager and Assistant Manager with administrative tasks
  • Ensure the front office area is clean, organized, and professional at all times
