About The Position

National Louis University (NLU) is seeking a College Operations Coordinator for its Chicago Campus. This role is crucial for overseeing the day-to-day operations of the college, providing essential support to the office of the dean, school directors, and college faculty. The position requires a commitment of 4-5 days per week on campus to effectively meet the needs of the College and its leadership. Requirements

  • High School Diploma/GED Required
  • Minimum of 1 year of experience in related administrative support, preferably in higher education/university
  • Proven track record for effectively prioritizing tasks, uses schedules well, anticipates what needs to be done and completes work efficiently.
  • Experience with a variety of technology tools including: Google, Microsoft Office, Zoom, calendars, shared drives and learns new technology quickly.
  • Problem Solving: Takes initiative to identify, define, and resolve challenges. Assesses root causes, generates and evaluates options, and implements practical solutions—adapting quickly to new or unexpected issues with sound judgment and minimal oversight.
  • Flexibility & Adaptability: Responds constructively to change, ambiguity, and shifting priorities. Adjusts approach, mindset, and strategies to meet evolving needs. Maintains effectiveness and composure in dynamic environments, and supports others through transitions.

Responsibilities

  • Performs administrative support for NCE Core Leadership, including creating/editing correspondence, arranging meetings, taking minutes, editing reports, and preparing/distributing agendas and minutes.
  • Assists with preparing accreditation and/or licensing documentation for various bodies (IBHE, ISBE, CAEP, HLC, SPA Reports).
  • Provides assistance for and at NCE-sponsored internal and external events and for NCE publications.
  • Supports accreditation and assessment processes and helps maintain compliance with the university calendar.
  • Maintains all record keeping for NCE Academic Programs and Directors, including electronic files, reports, grant applications, regulations, and meeting records.
  • Provides advanced assistance to college and program leadership for meetings, including report writing, program handbook updates, data gathering, presentation preparation, charts, summaries, and analysis.
  • Tracks and submits Professional Development credits (CEUs) for ISBE, manages the database, and sends accountability reports.
  • Updates NCE program web pages in coordination with appropriate units.
  • Assists new faculty with onboarding, including office keys, supplies, and computer/hardware acquisition.
  • Answers and directs incoming college and program calls/emails and student inquiries to the appropriate person.
