About The Position

The Campus Operations Coordinator supports the day-to-day operations of UMA’s Tampa Center and helps create a welcoming, professional, and well-organized environment for students, team members, prospective students, employer and community partners, vendors, and guests. Serving as a central point of coordination for the Center, this role supports front office operations, facility and vendor coordination, campus events and meetings, administrative activities, and the overall student and visitor experience. The Campus Operations Coordinator works across campus functions and with campus leadership to help ensure the Center operates efficiently, remains presentation-ready, and delivers a consistent, high-quality experience.

Requirements

  • High School diploma or equivalent.
  • 2 years of experience in customer service, administrative support, office coordination, hospitality, campus operations, or a related environment.
  • Strong organizational skills with the ability to manage multiple priorities and coordinate activities across different functions with attention to detail.
  • Ability to professionally communicate fluently in verbal and written English.
  • Ability to contribute to a diverse and inclusive work environment.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other business tools such as Microsoft Teams.
  • Ability to maintain professionalism and discretion when interacting with internal and external stakeholders.
  • Demonstrate knowledge of and carefully follow all applicable federal and state compliance requirements and regulations, including those prescribed by the U.S. Department of Education, accrediting agencies, state regulations, and internal policies and procedures.
  • Effectively communicate compliance requirements to other staff as appropriate and quickly escalate any compliance concerns to the Compliance department.

  • Experience coordinating meetings, events, vendors, or facility-related activities.

Responsibilities

  • Serve as a primary point of contact for students, prospective students, visitors, employer and community partners, and other guests, providing a welcoming and professional experience.
  • Responsible for day-to-day front office activities, including visitor reception, incoming calls, general inquiries, mail, packages, and deliveries.
  • Help ensure reception, meeting, common, and other shared campus spaces remain organized, professional, and ready to support daily campus activities.
  • Serve as a point of coordination for vendors, service providers, deliveries, and routine facility needs, including scheduling service calls and escalating facility concerns as appropriate.
  • Manage conference room and shared-space scheduling and assist with meeting logistics, room setup, technology coordination, food delivery, and other needs.
  • Coordinate logistics for executive leadership, employer partners, community organizations, and other external guests visiting the Tampa Center.
  • Partner with Admissions, Education, Career Services, Student Services, Strategic Partnerships to assist with the planning and execution of student activities, orientations, open houses, employer and community events, campus celebrations, and other special events.
  • Coordinate the ordering, organization, and inventory of office and shared campus supplies and identify replenishment needs.
  • Perform administrative activities such as preparing materials, maintaining records, photocopying, coordinating correspondence, and supporting campus leadership with operational projects.
  • Use the student information system of record to update appropriate student information, such as phone numbers and addresses, in accordance with established policies and procedures.
  • Maintain appropriate records of campus appointments and walk-in activity and help connect students and visitors with the appropriate campus team.
  • Help coordinate visitor access and ensure established campus check-in, safety, and security procedures are followed.
  • Support on- and off-campus activities that promote student engagement, community relationships, and awareness of UMA.
  • Perform other duties as assigned.
