About The Position

The Collateral Administration Associate supports the administration and maintenance of vehicle loan collateral records, titles, liens, and insurance documentation, ensuring accuracy, timely processing, and compliance with Credit Union policies and applicable regulations. The Associate works with members, Loan Officers, branches, internal departments, dealerships, insurance companies, and vendors to resolve collateral-related requests and exceptions. The position also supports reporting, daily operations, cross-training, and departmental projects.

Requirements

  • 0-1 year related/office experience preferred
  • Excellent verbal and written communication skills in English and Spanish

Responsibilities

  • Maintain accurate records, files, and electronic documentation related to vehicle loan collateral, including filing, scanning, and organizing documents in accordance with Credit Union policies.
  • Prepare and maintain operational reports and related data to support departmental activities and management reporting.
  • Maintain a working knowledge of Credit Union policies, procedures, and regulations related to vehicle loans, titles, liens, and insurance requirements.
  • Provide support to members, loan officers, branches, and third parties regarding collateral documentation, title processing, insurance requirements, and related inquiries.
  • Review operational reports to identify missing titles, insurance exceptions, and other collateral-related items requiring follow-up.
  • Research and resolve routine title and insurance exceptions by communicating with members, dealerships, insurance companies, and vendors.
  • Coordinate with internal departments and external partners to ensure timely resolution of collateral and title-related requests.
  • Monitor assigned queues and reports, prioritize daily workloads, and bring unresolved or high-risk issues to management's attention.
  • Perform all duties in compliance with applicable regulations, Credit Union policies, information security standards, and member confidentiality requirements.
  • Assist with special projects, system implementations, departmental initiatives, cross-training activities, and other collateral administration responsibilities as assigned.

  • Perform other duties as assigned.
  • Must be aware of all suspicious practices and be able to recognize them.
  • Report all Structured Transactions by the member to your supervisor and file a Suspicious Activity Report (SAR) to submit to Compliance for review, approval, and filing.
  • Responsible for successfully completing required compliance training courses (BSA/Identity Theft) on an annual basis.
  • Complete the following state and federal regulation courses: Servicemembers Civil Relief Act (SCRA). Unfair, Deceptive, and Abusive Acts and Practices (UDAAP). Equal Credit Opportunity Act (ECOA) – Regulation B. Fair Credit Reporting Act (FCRA) – Regulation V. Servicemembers Civil Relief Act (SCRA), and North Carolina General Statutes.
