About The Position

The UBC Arts Co-op Program is responsible for the development, implementation, management and evaluation of Co-operative Education in the Faculty of Arts. Co‑operative Education provides students enriched educational experiences for personal and professional growth by working with diverse community partners and sectors to provide transformative workplace learning experiences as part of their Arts degree programs. Responsibilities of the Co-op Advisor include the development, implementation, coordination and evaluation of primarily the UBC School of Information and the Undergraduate co-op programs of the Arts Co-op Program in accordance with national accreditation standards set out by Co-operative Education and Work-Integrated Learning Canada (CEWIL Canada). Tasks include designing and implementing strategies to recruit students, facilitating comprehensive career readiness curriculum including advising and coaching students in preparation for their job search and work experiences, monitoring co-op work placements, addressing workplace issues that students encounter, providing assessment, evaluation and analysis of the placement experience and student success each term, collaborating with other co-op professionals throughout the province and country, and the day-to-day administration of the program The Co-op Advisor is also responsible for working directly with existing local, national and international employers. Externally, this role develops and maintains relationships with employers and industry partners to build resources and programs to support graduate and undergraduate career development and learning.

Requirements

  • Undergraduate degree in a relevant discipline.
  • Minimum of four years of related experience, or the equivalent combination of education and experience.

Nice To Haves

  • An undergraduate degree, preferably in an Arts related discipline.
  • Master’s degree preferred in Archival and/or Library and Information Studies or equivalent.
  • Knowledge of co-operative education, human resource management, and/or relevant industry experience and knowledge.
  • Excellent oral and written communication skills including presentation skills, and exceptional organizational skills.
  • A passion for work integrated learning and a demonstrated ability to take initiative and work independently as well as within a team.
  • Ability to act with tact, diplomacy, and discretion.
  • Expertise in equity, diversity and inclusion an asset.
  • Knowledge and experience with career advising and coaching, conflict resolution, international work programs, project management, and event planning.
  • Ability to provide quality service to students and employers in a courteous and professional manner.
  • Strong computer skills (Microsoft Office, Teams, OneDrive, Zoom, database management) and the ability to effectively multi-task and prioritize routine daily work and long-term projects.
  • Valid BC Driver’s License, access to a vehicle, and ability to travel.
  • Able to work flexible hours, including occasional evenings and weekends.
  • Experience with a hybrid work arrangement.

Responsibilities

  • Develop, implement, coordinate, and evaluate co-op programs for the UBC School of Information and Undergraduate students.
  • Design and implement strategies to recruit students into the co-op program.
  • Facilitate comprehensive career readiness curriculum, including advising and coaching students for job searches and work experiences.
  • Monitor co-op work placements and address workplace issues encountered by students.
  • Provide assessment, evaluation, and analysis of placement experiences and student success each term.
  • Collaborate with other co-op professionals provincially and nationally.
  • Manage the day-to-day administration of the program.
  • Work directly with existing local, national, and international employers.

  • Provide one-on-one and group career advising and coaching to co-op students.
  • Evaluate and interpret students’ qualifications to suggest relevant job postings and employers.
  • Identify opportunities for student learning and promote engagement in career-building experiences.
  • Provide career advising and coaching on various topics including career exploration, labor market research, experiential learning, resume writing, cover letters, interviews, and networking.
  • Identify and provide support for students in crisis or in need of health support, referring them to appropriate services.
  • Advise students facing complex workplace issues such as discrimination, harassment, bullying, or termination.
  • Conduct work term site visits and check-ins to monitor technical requirements, workplace environment, working conditions, safety standards, and academic requirements.
  • Evaluate student performance in the workplace and address student and/or employer issues, including problem-solving and mediation.
  • Design, evaluate, and assess work term deliverables to meet national accreditation standards.
  • Assign grades for co-op courses.
  • Oversee the design, content, facilitation, and teaching of co-op pre-employment and career readiness curriculum.
  • Build productive relationships with employers from diverse backgrounds, industries, and perspectives.
  • Establish and maintain ongoing relationships with employers and alumni to support job creation and career development events.
  • Participate in strategic business plan development, including market research for co-op work-integrated learning growth.
  • Advise and consult employers on developing academically appropriate co-op work opportunities and review/approve job postings.
  • Identify and manage relationships with employers who are not appropriate partners for hiring co-op students.
  • Attend local and national events such as conferences, trade shows, and career fairs.
  • Maintain involvement in relevant industry professional associations.
  • Build and maintain relationships with alumni, employers, and the workplace community to develop resources and programming.
  • Develop and create opportunities for students to connect with and learn from alumni, employers, and industry partners.
  • Develop and implement a student marketing and recruitment plan for the Co-op Program.
  • Design and manage the student admission process, including application, interviews, and admission criteria.
  • Contribute to strategic planning, goal setting, and prioritization for the program.
  • Oversee and manage Co-op Program strategic projects and continuous improvement initiatives.
  • Liaise with campus partners to coordinate joint initiatives and promote programs.
  • Evaluate program effectiveness, recommend improvements, and implement changes.
  • Increase capacity for career learning and career conversations within the student experience.
  • Participate in the assessment and evaluation of career learning for students.
  • Collect, record, analyze, and report statistical information and feedback.
  • Prepare reports on student placement statistics for national co-op accreditation.
  • Participate in the development and management of the Co-op Program budget.
  • Work closely with UBC’s International Student Advising Office and direct students on legal and immigration policies.
  • Participate in Faculty, Departmental, UBC-wide, and external meetings, committees, and events.
  • Evaluate trends to recommend, advocate, and initiate responsive and proactive change within the program.
  • Exercise individual judgment in organizing work, dealing with students, faculty, and external agencies.
  • Perform other duties as required.
