About The Position

Provides administrative, clerical, and operational support to Community Association Managers and the Division Manager for an assigned portfolio of communities in the Augusta market. This non-exempt position focuses on documentation, customer service, system processing, and observational drive inspections, supporting efficient day-to-day operations.

Requirements

  • High school diploma or equivalent required.
  • Administrative or clerical experience required.
  • Valid driver’s license with a clean driving history and reliable transportation required for drive inspections.
  • Must pass a background check.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Strong organizational, communication, and customer service skills.

Nice To Haves

  • HOA or property management experience preferred.
  • Experience with Vantaca or similar property management software preferred.

Responsibilities

  • Provide routine administrative support to Community Association Managers and Division Manager.
  • Maintain electronic records, files, and documentation in the Vantaca system.
  • Prepare, scan, copy, mail, and distribute correspondence and association documents.
  • Process compliance items, architectural requests, and inspection reports in Vantaca.
  • Track invoices, charges, and administrative records as directed.
  • Manage keys, access cards, parking decals, and related inventory.
  • Assist with scheduling amenities, inspections, vendors, and appointments.
  • Conduct monthly driving inspections of assigned communities; document observations and upload reports and photos into Vantaca.
  • Report observed property condition or compliance concerns to assigned Community Association Manager.
  • Provide courteous customer service to homeowners, vendors, and internal staff.
  • Assist with special administrative projects assigned.
