About The Position

The Clinical Support Assistant (CSA) position at Family Medicine at South Waterfront performs a variety of administrative or technical assignments of duties involving many different and unrelated processes, methods and administrative related tasks as instructed by clinic leadership. Occasional direct patient interactions. Works closely with and reports to clinic leadership and provides assistance with clinic and office tasks. Supports the activities of the clinic and works effectively with all clinic staff. Requires working in a confidential atmosphere, handling many complex projects at one time. Knowledge of and familiarity with OHSU facilities, resources, and personnel. This position requires someone who can solve problems and stay highly organized. High level written and verbal communication skills and the ability to stay calm under high pressure conditions and timelines.

Requirements

  • High school diploma or equivalent, AND One year of experience with high volume contact with the public; OR 6 months of medical office experience, with high volume contact with patients
  • Fluency in written and spoken English.
  • Must be able to communicate effectively verbally and in writing.
  • Excellent telephone communication skills.
  • BLS certificate within 30 days of hire or prior to independent practice, whichever comes first.

Responsibilities

  • Track and stock patient paperwork and brochures, including OB Packets.
  • Manage incoming/outgoing mail.
  • Use of Microsoft Office—Outlook.
  • Provide general high-level clerical and project support.
  • Document legibly, concisely and accurately.
  • Conduct regular audits of the PAR system to monitor stock levels; communicate needs to the Supervisor to ensure automatic replenishment stays on track.
  • Identify and place orders for all clinical and administrative supplies not managed by the PAR system to ensure no gaps in clinic operations.
  • Manage the physical receipt of all deliveries, including unboxing and "putting away" stock in the main equipment room and designated areas.
  • Responsible for the daily stocking and replenishment of exam rooms, procedure rooms, and medication rooms, as well as clinical bathrooms.
  • Take and record vital signs such as blood pressure, pulse rate, respiration and temperature.
  • Perform basic rooming to include only vitals, including social history, pain (no med reconciliation, allergies). No medication related activities allowed (reconciliation, administration, preparation).
  • Assist in workflow coordination of daily operations between front desk and back office to ensure patient and provider flow is efficient, such as by continuous monitoring of providers schedules to assure timeliness, identifying barriers to patient flow.
  • Accept a patient sample for point of care testing or lab resulting and add a patient label, then hand off to medical assistant for Epic workflow of releasing lab order and labeling with Epic label.
  • Make appointments for patients or refer patients to medical staff for immediate examination or treatment.
  • Stock exam rooms and monitor for expired supplies.
  • Provide In Basket support.
  • Maintain knowledge of life safety, patient safety, fire and electrical safety and disaster plan.
  • Sentact duties/compliance.
  • Perform inventory management including equipment- notify appropriate personnel when cleaning and repair of equipment is needed.
  • Instrument processing pick up/ drop off.
  • Check expiration dates for medications/supplies.
  • Turnover rooms/cleaning/stocking.
  • Assist with maintaining vaccine/supply inventory.
