About The Position

The Clinical Staff Coordinator is responsible for performing daily staffing for all bedded units, tracking and assigning Float Pool staff, and maintaining all staffing sheets, census, and 1:1 assignments. This role involves verifying staffing every 4 hours, taking sick calls and unexcused absences, and entering this information into API. The coordinator also manages staffing changes, tracks census information, and documents cancellations. Additionally, they maintain the holiday schedule for Float Pool staff, work to cover in-house needs, identify hard-to-fill roles, and send broadcast messages if needed. Feedback is provided to the Float Pool manager, and new staff are assisted with self-scheduling. The coordinator may cancel Float Pool staff if census is high and balances staff in the Float Pool. They also verify hours worked for agency staff, maintain agency time sheets, and manage private duty records. Researching discrepancies with agency billing, completing agency invoices, and processing agency payroll are also key duties. The role includes maintaining and tracking bedded unit statistics for the New Jersey Department of Health, posting statistics on the state website, and posting unit staffing numbers on all units. Communication of tardy and early swipes for Float Pool Staff, verification of shift fulfillment, and ensuring correct cost center swipes are required. The coordinator handles payroll complaints and investigates discrepancies for certain bedded units. They also maintain daily/monthly schedule changes for all Nursing Units and assist managers with payroll. Further responsibilities include assisting with deceased patient forms, funeral home paperwork, contacting Case Management and physicians regarding deceased patients, and maintaining all related paperwork. Autopsy paperwork and follow-ups, as well as documenting deceased patients on hold for the Sharing Network, are also part of the role.

Requirements

  • Must be reliable and dependable.

  • Excellent communication and interpersonal skills
  • Knowledge of Scheduling/ Payroll software
  • Experience with Staffing or similar position
  • Must be able to keep data confidential.
  • Able to work under stressful situation.
  • Must be extremely organized.

Responsibilities

  • Perform daily staffing for all bedded units.
  • Track and assign the Float Pool staff to the appropriate units.
  • Maintain all staffing sheets/ census and 1:1 assignment.
  • Call each nursing unit to verify staffing every 4 hours.
  • Take all sick calls/ unexcused absence for staff in house (Nursing Units only).
  • Ensure that these sick calls are entered into API.
  • Call/ notify the unit of sick call.
  • Enter and update staffing changes for all bedded nursing units in API.
  • Track all census information for (3) three shifts.
  • Track/ document cancellation of Float Pool/ Bedded unit staff.
  • Maintain holiday schedule for Float Pool staff, and assign holidays when necessary.
  • Work with Float Pool staff to cover in house needs.
  • Identify hard to fill roles and take the proactive actions to fill those shifts.
  • Send out a Broadcast message to staff if needed using Trusted app.
  • Provide feedback to Float Pool manager about float staff when needed.
  • Assist new Float Pool staff with API self-scheduling as needed.
  • If census is high cancel Float Pool staff 2 hours before the start of their shift.
  • Balance and maintain appropriate staff in the Float Pool in accordance with Float Pool Management.
  • Organizes and prepares work schedules for Float Pool employees to ensure coverage and availability.
  • Verify hours worked for all agency staff.
  • Maintain and fax agency time sheets to appropriate agency if needed.
  • Maintain all private duty records and sign in sheets.
  • Maintain and track all mandatory training requirements for agency staff.
  • Research discrepancies with Agency billing and Accounts Payable.
  • Track and complete all agency invoices.
  • Complete agency payroll in Magnet and API when appropriate.
  • Maintain and track all the bedded units’ statistics for New Jersey Department of Health.
  • Post all statistics on the New Jersey state web site.
  • Post all appropriate unit staffing numbers on all units.
  • Communicate tardy and early swipes for all Float Pool Staff to management.
  • Verify all Float Pool staff are fulfilling their required shifts.
  • Verify Float Pool staff swipes in to correct cost center.
  • Deal with complaints and questions regarding payroll from employees and upper management.
  • Investigate and resolve any discrepancies in payroll for some Bedded Units.
  • Maintain daily/monthly schedule changes for all Nursing Units.
  • Assist managers and coordinators with payroll (API) when necessary.
  • Assist Unit Associate/ Assistant Nurse Manager with deceased patient form.
  • Assist Funeral home with necessary paperwork for the removal of deceased patients.
  • Contact Case Management when deceased patients are not removed in a reasonable time.
  • Contact attending and pronouncing physician if paperwork is not completed.
  • Maintain all deceased patient paperwork.
  • Contact and fax all paperwork to Lab if patient’s family request an autopsy.
  • Follow up with family members if autopsy paperwork is not completed in a timely manner.
  • Document deceased patients on hold for Sharing Network.
