About The Position

The Clinical Sciences Coordinator position serves as clerical support to all clinical science faculty (full time and part-time) within the Departments of Osteopathic Principles and Practice and Family Medicine. On a day- to- day basis, job duties will be contingent upon the needs of faculty and/or the institution. This position is under the direct supervision of the chair, Department of Osteopathic Principles and Practice (OPP).

Requirements

  • Minimum of Associate's Degree required
  • 3 years of experience in a formal education department, business, hospital, or professional office is preferred.
  • Must have excellent verbal and writing communication skills.
  • Strong critical thinking, anticipatory problem solving and attention to detail is required.
  • Ability to plan, prioritize, and organize work to complete assignments accurately and within reasonable timeframes.

  • Must have current knowledge and skills in utilizing Microsoft Office Applications, including but not limited to Outlook, PowerPoint, Word, and Excel.

  • Must demonstrate cooperation, courtesy, and consideration when working with the professional community, KYCOM, KYCO and UPIKE communities, faculty, students, and the public.

Responsibilities

  • Provide clerical support for the Departments of Osteopathic Principles and Practice (OPP) and Family Medicine (FM), including department expenses, credit card reconciliation, and allocation of expenses to appropriate budget categories.
  • Order supplies, equipment, records, and support materials for the Bevins Clinical Skills Training and Evaluation Center, OPP, and FM Departments.
  • Schedule appointments and maintain patient files/records for the KYCOM Community Clinic for Osteopathic Manipulative Medicine.
  • Assist in scheduling community health fairs which are hosted by the Department of OPP and/or FM.
  • Collect and enter block exam questions for the OPP and FM Faculty.
  • Assist OPP and FM faculty in the preparation and dissemination of PowerPoint presentations and the use of Canvas, ExamSoft, and B-line medical software.
  • Assists the SP/HM Coordinator with scheduling of Objective Structured Clinical Exams (OSCE's), Independent Skills Assessments (ISA' s), Human Models, Simulation programs, and Capstone Coursework.
  • Assists and provides cross coverage with the SP/HM coordinator during OSCE sessions including operating the recording software, assigning OSCEs to graders, and other duties as needed with regard to OSCEs.
  • Schedule Department of OPP practical examinations as delineated by the OPP faculty.
  • Schedule any in person clinical activities associated with the Department of OPP.
  • Maintain all grading/scoring records associated with the Departments of OPP and FM, including the preparation of OPP and FM grade reports for the associate dean for academic affairs.
  • Record minutes for the Clinical Science Committee, OPP and FM Department meetings.
  • Scheduling of, and follow-up of ROTC/military physical exams.
  • Cross-train with and assist the Standardized Patient and Human Model Program Coordinator as directed by the OPP and FM department chairs, and the dean of KYCOM.
  • Pickup and Distribution of mail on a collaborative schedule with other KYCOM staff members.
  • Other Duties as assigned by the OPP and FM department chairs, and the dean of KYCOM.
