About The Position

We are seeking a highly organized and detail-oriented Program Scheduler to join our mission-driven team. As a Program Scheduler, you will play a crucial role in ensuring that our clients receive the highest quality ABA services by effectively coordinating schedules for clients and staff members across our many programs and campuses.

Requirements

  • High school diploma with further education preferred on administrative/relevant business-related topics.
  • Minimum of 1 to 2 years of general administrative experience within a highly professional environment that has included interacting with children and their family members, on a highly organized and reliable basis.

Nice To Haves

  • Experience within a healthcare or behavioral health environment.
  • Recent employment within a primary school and/or clinical environment.
  • Spanish language fluency.

Responsibilities

  • Develop, maintain, and optimize detailed schedules for clinical staff, client sessions, and program activities, ensuring appropriate coverage and resource allocation across multiple clinical sites or programs. May require some on-call time to support scheduling needs.
  • Proactively identify and resolve scheduling conflicts, absences, and logistical issues with minimal disruption to clinical operations.
  • Maintain accurate scheduling records and databases. Perform routine and complex clerical and administrative tasks including word processing, copying, faxing, filing, answering and screening calls, writing and editing correspondence, and compiling and coordinating mailings. Creates, maintains, and updates records, databases, and files.
  • Serve as the primary point of contact for staff regarding scheduling inquiries, changes, and notifications, ensuring all parties are informed promptly and clearly.
  • May coordinate and track assessment/client records; register clients/families for programs, maintain client records, manage client schedules and cancelations and provide information, coordination and tracking of grant applications and regulatory reports.
