We are the largest and oldest not-for-profit provider of mental/chemical dependency treatment in southwest Washington with 200 employees and a history dating back to 1942. The Front Desk/Reception position provides reception and administrative support to ensure efficient front desk operations and a welcoming experience for clients and visitors. This position is responsible for client check-in, scheduling, answering and routing calls, collecting copayments, verifying client and insurance information, and coordination with clinical and administrative staff.

Requirements

  • Previous reception experience or administrative experience required
  • Strong customer service, organizational and interpersonal skills.
  • Computer skills, automated appointment scheduling and word processing experience preferred.
  • Ability to communicate effectively with clients, staff, providers, and community partners.
  • Strong attention to detail and accuracy in scheduling, data entry, and documentation.
  • Knowledge of general office procedures and administrative practices.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
  • Ability to use health records, scheduling systems, and standard office technology.
  • Strong problem-solving skills and ability to exercise sound judgment.
  • Ability to work collaboratively and contribute to a supportive team environment.
  • Demonstrate professionalism, reliability, and accountability.

Nice To Haves

  • High school diploma or GED equivalent is preferred.
  • specialized training in a medical or behavioral health setting preferred.
  • Experience with co-pays and insurance billing preferred.
  • Bilingual skills (English/Spanish) a plus, depending on patient population served.
  • Familiarity with electronic health records or automated appointment scheduling systems preferred experience with Qualifacts CareLogic a plus.

Responsibilities

  • Front Desk, answer phones, Collect copays and insurance cards.
  • Greet clients and visitors to the clinic and notify appropriate staff of their arrival. Monitor Lobby as needed.
  • Verify client personal data and provide required paperwork to clients as needed.
  • Coordinate and collect necessary information/documentation to facilitate treatment.
  • Schedule appointments for Provider and Clinicians.
  • Assist with correspondence, faxing, copying.
  • Maintain accurate tracking reports and necessary computer and hard copy files. Maintain and reconcile petty cash in accordance with agency authorization procedures.
  • Make reminder calls for client’s appointments.
  • Opening and closing duties assigned to clinic.
  • Maintain necessary computer and hard copy files.
  • Communicate any site maintenance needs to the Facilities Coordinator.
  • Enter deadline – sensitive data into the computer information system in a timely manner. Perform all related self-check, error-correction, and date information functions according to timelines.
  • Assist Intake Coordinator with Screening and Data Entry as needed.
  • Cross train to alternate duties as necessary to cover inter-departmental and program needs.
  • Work closely with compliance to ensure all compliance functions within the agency are being properly executed.
  • Health Information Management support – working closely with compliance to ensure all compliance functions within the agency care are being properly executed.
  • Handle all client information in strict compliance with HIPAA regulations and agency confidentiality policies, including the safeguarding of Protected Health Information(PHI)
  • Supports agency mission, goals, and objectives.
  • Attend staff and planning meetings as scheduled.
  • Maintain communication and cooperative working relationships both within the agency and community at large, while maintaining a high degree of confidentiality.
  • Other duties as assigned.
