About The Position

The Clinical Receptionist plays a crucial role in providing specialized assistance and support to clients participating in the center's programs. This role supports various responsibilities such as client enrollment, managing appointment schedules, verifying insurances, accurately entering data, and engages in tasks to support an efficient and welcoming front office atmosphere.

Responsibilities

  • Answer the phone in a professional manner, before the third ring, routing calls to the appropriate person.
  • Responsible for opening and closing of assigned office location.
  • Initial screening of new clients and creating electronic charts in the Electronic Health Record (EHR) system.
  • Obtains necessary documentation for new clients and uploads it into EHR.
  • Verify initial Managed Care Organization (MCO) insurance eligibility and verify commercial insurance the day prior to appointment.
  • Collect client copays, deductibles, and balances.
  • Conduct provider confirmation calls daily for evaluations scheduled for the next day.
  • Notify providers and management of clients and guests' arrival.
  • Schedule new and existing clients (and/or reschedule) maintaining good workflow of appointments.
  • Notify providers of same day cancellations.
  • Data entry of daily census.
  • Conduct quarterly structural audits.
  • Responsible for calling clients that missed appointments.
  • Responsible for bringing complaints/concerns expressed by clients to Office Supervisor.
  • Maintain adequate number of forms and assessments in the reception area for providers.
  • Follow up with voicemails and emails throughout the day.
  • Open and distribute incoming mail.
  • Sanitize and ensure the lobby is safe and presentable to the public and monitor office capacity.
  • Trained in Medical Assistant position for back-up as needed.
