About The Position

Enabling providers to deliver exceptional care to families. Manatee is a family-first, virtual clinic providing child, family and parent therapy, and tools to empower modern families. As the Clinical & Practice Operations Manager, you will partner with the Operations & Clinical Leaders to scale Manatee’s practice and provider base while maintaining quality and efficiency. This role ensures our provider experience is organized, structured, and continuously improved — enabling clinicians and the broader team to do their best work and families to have a seamless experience — making a direct impact on children and families across the US. About the Role: The north star for this role is ensuring the practice is running smoothly specific to provider onboarding, practice workflows, and administration. This is a hands-on role ideal for someone who enjoys making sure the day-to-day operations run smoothly and has experience supporting key workflows within a healthcare practice (provider onboarding, clinical licensure, compliance and partnering with payers). You are not afraid to take action and proactively take steps to improve employee and patient experience. Non-negotiables: Experience with submitting and maintaining clinician state licensure This is a hands-on operations role - not exclusively strategy or people-management (opportunity for growth at a later financing stage) You will own payer engagement, provider onboarding, and provider licensure This is a lean environment without dedicated administrative support - must be willing to do the hands-on operational and administrative work (setting up systems in place to ensure consistency and minimize administrative burden is encouraged)

Requirements

  • 3–6 years of experience in healthcare operations, practice management, or a similar role supporting clinicians and practice administration
  • Experience with provider licensing required
  • Highly organized with strong attention to detail
  • Comfortable managing multiple workstreams and following through on execution in a dynamic environment
  • Clear communicator who enjoys coordination with a diverse set of partners (clinical, operations, patients, etc)
  • Process-oriented and motivated by making systems better
  • Comfortable using technology platforms and guiding others through digital tools

Responsibilities

  • Create consistent, structured experiences for new employees joining our ManaTeam
  • Maintain onboarding checklists, training modules, and account setup
  • Ensure continuity of hiring and onboarding experience across recruiter, office manager, and supervisors
  • Facilitate and maintain provider licensure (onboarding, renewal, and new licenses)
  • Drive structured execution of priorities, change management of practice workflows, and ensure teams move work forward
  • Manage project plans and SOPs for clinical workflows and operational initiatives (ex: HMO, Medicaid rollout, new charting notes, etc)
  • Partner with RCM Manager on payer enrollment and compliance (QA/audits, policy change management)
  • partner with Head of Strategy & Ops on provider productivity, capacity planning (monitoring and adjusting), and provider schedule management
  • Manage and process contractor payroll and general accounts payable
  • Support cleaning-up company knowledge base and record-keeping
  • Contractor payroll and accounts payable (support from Office Manager)
