About The Position

• Under the general direction of the COO, plans, organizes and directs the daily operations, billing and collection of all patient accounts for the physician office practices in an efficient and timely manner and in accordance with JCAHO, federal and state regulations, organizational and departmental policies and procedures. Ensures all federal, state, organization and departmental policies and procedures are followed in the pre-certification process. Communicates with medical staff, other departments, patients, visitors and outside agencies while maintaining confidentiality. Position requires self motivation, creativity and capabilities to function in a semi-autonomous role within a fast pace and dynamic environment. Essential Position Responsibilities • The essential position responsibilities are the basis for the 90 day and annual evaluation. Requirements

  • Clinical Practice Manager requires (RN or LPN) with leadership experience in physician office management.
  • Advanced management skills with experience in planning, organizing, implementing, facilitating, interviewing, counseling verbal and written communications and customer service.
  • Three (3) to five (5) years experience in physician office management.
  • Five (5) years experience in dealing with Medicare, Medicaid, Blue Cross Blue Shield and other third party payers; CPT and ICD-9 codes.
  • Intermediate computer skills with word processing and spreadsheet capabilities.

Responsibilities

  • Ensures the timely and accurate filing of all 1500’s for Medicare, Medicaid and other third party payers in a timely and accurate manner
  • Reviews all third party payer remittances.
  • Keeps abreast of electronic billing updates.
  • Assists patients with questions or problems concerning their account(s).
  • Reviews and processes refunds from credit balance reports.
  • Maintains charge master.
  • Ensures the maintenance of patient files for billing purposes.
  • Prepares staff schedule and physician call schedule on a monthly basis.
  • Prepares and ensures accurate and timely deposits.
  • Coordinates and interacts with outside contracted company for third party managed care services.
  • Addresses issues/concerns presented by the physician.
  • Interacts with other management personnel to develop the strategic plan.
  • Develops and implements departmental policies and procedures coordinating with Director for approval.
  • Recommends a sufficient number of qualified and competent personnel.
  • Evaluates the qualifications and competence of departmental personnel in accordance with time frames established by the organization.
  • Responsible for the orientation and continuing education of department personnel.
  • Reviews and approves departmental hours to be paid and provides justification for bi-weekly productivity report.
  • Coordinates and participates in continuing education.
  • Makes recommendations to Administration for and assists in the development of new programs and research for special projects.
  • Responsible for the assessment and maintenance of the departmental performance improvement program.
  • Makes recommendations for space and other resources needed by the department and maintains an efficient, clean and safe working environment.
  • Prepares departmental annual operating budget and capital equipment budget; and operates department expenditures within approved budget.
  • Provides daily management of the staff including positive feedback, performance actions, education, staffing models, recruitment and selection processes, etc.
  • Regularly attends department director meetings and assigned committee meetings and chairs meeting when appropriate.
  • Accept responsibility for enforcing practices and activities related to the surveillance, prevention, and control of infections within the department and for the safety of the staff and patients.
  • Demonstrates support for the mission/vision of the organization.
