About The Position

The Clinical Operations Assistant provides administrative and patient support to the Concierge team during high-volume clinic periods. This role is designed to assist with front desk operations, patient intake, and clerical tasks, allowing Patient Concierge team members to focus on delivering an exceptional patient experience. The Patient Concierge Assistant serves as a welcoming presence for patients while supporting efficient clinic operations. This is a part-time, non-exempt position. This temporary position is ideal for individuals seeking healthcare administration experience and exposure to a fast-paced outpatient medical environment.

Requirements

  • High school diploma or equivalent required.
  • Strong communication and interpersonal skills.
  • Excellent attention to detail and organizational abilities.
  • Ability to work efficiently in a fast-paced environment.
  • Basic computer proficiency, including Microsoft Office applications.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Positive attitude and willingness to assist wherever needed.

Nice To Haves

  • Current college student or recent graduate preferred.
  • Previous customer service, administrative, or healthcare experience preferred but not required.

Responsibilities

  • Greet and welcome patients in a friendly and professional manner.
  • Assist patient concierge team members with completing intake forms and registration paperwork.
  • Scan and upload patient documents into electronic medical records.
  • Assist with patient check-in processes.
  • Prepare and organize paperwork for upcoming patient appointments.
  • Maintain accuracy and confidentiality of patient records in accordance with HIPAA regulations.
  • Support Concierge team members during high-volume clinic days and busy patient schedules.
  • Help maintain a clean, organized, and welcoming reception and waiting room environment.
  • Restock office and patient materials as needed.
  • Provide support across multiple clinic locations when requested.
  • Perform other administrative duties as assigned to support efficient clinic operations.
  • Provide exceptional service to patients, visitors, and coworkers.
  • Exhibit professionalism and ethical behavior at all times.
  • Maintain compliance with OSHA, HIPAA, and company policies.
