About The Position

The Center for Caregiver Advancement (CCA) is dedicated to building a workforce of highly trained caregivers. For over two decades, CCA has been a leader in equity-driven training and quality jobs for long-term caregivers in California, training over 30,000 individuals. CCA is a pioneer in home care training and has demonstrated the positive impact of its evidence-informed programs on both the workforce and the seniors and people with disabilities they serve. The organization develops quality programs for IHSS home care workers and Skilled Nursing Facility workers, in deep partnership with SEIU Local 2015. Their Labor Management Training Partnership for nursing home workers focuses on collaboration between skilled nursing facility employers and SEIU Local 2015 to enhance the workforce and improve resident care through high-quality courses, certifications, and apprenticeship programs. CCA's training is provided in six languages to meet caregivers where they are, recognizing that the majority of caregivers are immigrant women of color from under-invested communities.

Requirements

  • 2 years in a clerical or administrative role, preferably in the healthcare education industry.
  • Intermediate proficiency level skills or higher in using basic Microsoft Office environments (MS Word, Excel, PowerPoint, Outlook) & Google Workspace/Drive.
  • Proficient use of the Internet as a research tool.
  • Great attention to detail and excellent organizational skills.
  • Commitment to provide accurate, efficient, and friendly service to staff and students.
  • Responsive to the organization's needs and highly motivated to improve the skills and capabilities within the department.
  • Ability to support several projects simultaneously and prioritize effectively to complete workload.

Nice To Haves

  • An associate degree is preferred.
  • Experience using Salesforce and Blackboard is preferred.
  • Intermediate or expert level of proficiency and knowledge in using Google Workspace/Drive.
  • Experience with Salesforce, Adobe, and Financial Software is a plus.
  • Bilingual skills (English-Spanish) are highly desirable.
  • Flexibility to occasionally work evenings and weekends, as needed.

Responsibilities

  • Ensures accuracy of student enrollment documentation, including Photo ID, TB, physical, BCIA 8016 live scan, and CDPH 283B Initial Application.
  • Uploads all enrollment documentation, Physical Examination, CDPH 283B, and certification of Completion.
  • Requests for Live Scan Service BCIA 8016 directly to Salesforce upon completion.
  • Ensures completion of CDPH 276C Individual Student Record and CDPH 276A Skill check off.
  • Prepares certificates of completion.
  • Supports student retention efforts.
  • Schedules vendor appointments.
  • Assists instructors in virtual and/or live instructor-led courses by preparing materials, setting up equipment, reviewing instructional materials, compiling student scores, and instructing students in operating educational equipment.
  • Carries out administrative and clerical responsibilities such as organizing digital folders and files, making photocopies, and preparing mailers.
  • Assists in establishing and maintaining an effective and efficient records management system.
  • Manages Google Classroom set-up and registration.
  • Maintains confidentiality of data.
  • Generates reports and responds to inquiries regarding entered data as requested.
  • Assists the PA with the facilitation of graduations.
  • Communicates with suppliers for purchasing instructional supplies.
  • Provides travel accommodations assistance for full-time instructors.
  • Facilitates instructional communication via Zoom meetings, Google chats, etc.
  • Verifies CDPH's Oasys platform submission.
