About The Position

The Clinical Assistant is responsible for escorting patients, initiating sensitive conversations, verifying demographic information, and documenting in the electronic health record. They ensure registration paperwork is completed annually and assist patients with electronic check-in. The role involves obtaining and recording vital signs, registering patients for the patient portal, and providing education on its use. The Clinical Assistant evaluates responses to social determinants of health (SDOH) questions, provides community resources, and reports high-risk responses to care team members. Responsibilities also include pre-visit planning, calling patients before appointments, requesting consultation notes, reminding patients of co-pays and necessary documents, confirming insurance eligibility, and ensuring the correct appointment type. They may assist providers in medical examinations, follow up on patient reminders, outstanding lab and imaging orders, and specialist referrals. The role involves labeling results, assisting with pill counts and drug screenings, performing urine drug screenings, collecting A1c samples, performing blood draws, calibrating and maintaining laboratory equipment, annotating patient charts, contacting patients with findings, and performing documentation. Daily equipment checks, sanitary duties, cleaning and sterilizing instruments, performing quality checks on the Autoclave, cleaning exam rooms, restocking supplies, counseling patients, and answering clinical calls are also key duties. The position requires assisting patients with concern and empathy, respecting confidentiality, and communicating courteously. Teamwork includes assisting in training new team members, working cooperatively, assisting colleagues, and demonstrating flexibility in duties and staffing. Problem-solving involves sound judgment, investigating unusual orders, following reporting procedures, recording equipment maintenance needs, evaluating work, redoing inadequate work, and ensuring regulatory compliance. Productivity and efficiency are demonstrated through flexibility, minimizing non-productive time, organizing work areas, and taking initiative without direct supervision. Adherence to departmental policies, infection control procedures, and the Exposure Control Plan is mandatory.

Requirements

  • High school diploma (or G.E.D.)
  • Valid CNA License in the state of West Virginia or experience as a PCA
  • Current Basic Life Support (BLS) certification.
  • Must be able to operate a variety of medical equipment such as EKG and Autoclave machines.

Responsibilities

  • Escort patients to the exam room and initiate sensitive conversations.
  • Verify demographic information, emergency contacts, next of kin, preferred pharmacy, HIPAA Notice of Privacy Practices, family size and income level, social security number, medical release forms, etc., and document in the patient’s electronic health record.
  • Ensure that registration paperwork is completed annually.
  • Assist patients with electronic check-in when necessary.
  • Obtain and record patient vital signs (height, pulse, temperature, visual acuity, weight, and measures blood pressure, head circumference when indicated for patients).
  • Register the patient for the patient portal, if applicable, and provide education on its use.
  • Evaluate the responses to the social determinants of health (SDOH) questions and provide the community resources packet to the patient when responses indicate difficulty in access, conditions, and availability to physical or social needs.
  • Report responses associated with “high risk” to all care team members.
  • Call patients before their appointment to ask questions about what has happened since their last visit.
  • Request consultation notes from specialists seen, ER records, remind about outstanding orders, and co-pay that will be due at check-in.
  • Remind patients to bring in their driver’s license and current insurance card.
  • Confirm insurance eligibility.
  • Ensure appointment type is correct and change if needed.
  • Schedule for next visit prior to patient leaving office.
  • Select the appropriate visit type if the next appointment should be a Medicare Annual Wellness Visit or Well child.
  • Assist providers in medical examinations as requested.
  • Follow up on patient reminders.
  • Check chart to see if outstanding lab and imaging orders are completed and not tied to orders, call patient to remind to complete.
  • Call facility to see if specialist referrals are completed, request consult note. If not, call patients to remind them to reschedule.
  • Label incoming results and consult notes correctly to ensure they tie to quality measures and outstanding orders.
  • Assist with patient pill counts and drug screenings.
  • Perform federal urine drug screenings after appropriate training.
  • Collect finger stick A1c’s.
  • Perform blood draws based upon training level.
  • Calibrate, and maintain laboratory equipment to ensure efficient performance.
  • Annotate patient charts with lab results.
  • Contact patients with laboratory and specialists’ findings and other various tests.
  • Perform accurate and thorough documentation in the patient chart of results and patient outreach.
  • Perform daily equipment checks and sanitary duties for equipment.
  • Clean and sterilize instruments daily and/or after immediate use using Autoclave system.
  • Perform quality checks on the Autoclave to ensure proper working conditions and document findings of regular performance checks.
  • Clean exam rooms after each patient.
  • Keep the exam room neat and orderly and restock the examination rooms with a standard list of supplies.
  • Counsel patients in the office and on phone concerning scheduling, medication refills, medication questions and refill requests.
  • Answer patient clinical calls and questions and direct them to appropriate individuals if unable to answer inquiries.
  • May be required to serve as medical receptionist depending upon need.
  • Other duties as assigned.

  • Answer and refer telephone calls or other inquiries to ensure accurate and timely communications are facilitated.

  • Follow proper reporting procedures for actual or potential accidents and/or incidents so follow-up and/or prevention can occur.
  • Record/report the need for service maintenance or repair of equipment and remove any faulty equipment from service.
  • Consistently evaluate work and determine if further steps are needed to meet patient expectations.
  • Take the initiative to do or redo inadequate or incomplete work, even if it is not yours.
  • Ensure compliance with regulatory standards.
  • Consistently demonstrate ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary.
  • Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of the System (education, organizing, housekeeping, assisting others).

  • Demonstrate knowledge and understanding of all policies and procedures and ability to reference them from appropriate books and manuals.
  • Comply with the System's infection control policies and procedures including Body Substance Isolation (BSI) and the Exposure Control Plan which reflects OSHA Bloodborne Pathogens Standard to ensure a safe working environment for self and others.
