About The Position

As our Clinic Supervisor, you will oversee the staff (patient care team, front desk, records, and ancillary services) in the outpatient clinic who are caring for our patients. Every day you will oversee a smooth flow of clinic operations, advocate for and mentor your team as you support them in reaching their full potential, aligning with our operational goals and objectives, assist with budget development and management to ensure cost-effective operations, and monitor the productivity and efficiency of your department. Every interaction is an opportunity to improve your understanding of a patient's needs, the needs of your patient care team, or the needs of your clinic. To be successful in this role, you will be accountable and confident, an excellent communicator in one-on-one interactions and in front of groups, and be comfortable holding tough conversations, as you are responsible for the performance of your people and your clinic. In collaboration with Administrative Director and Physician Site Directors, supports a vision and work culture that reflects a patient care-focused environment. Collaborates, as appropriate, to discuss and resolve daily operational and financial issues pertaining to the practice. Participates in work groups, teams, task forces and committees to support ongoing division functions, provide input, and resolve ad hoc issues. Provides support in managing the revenue cycle. With adequate management of template (i.e., physician schedules), balances number of visits/services with operational revenue requirements. Assists to manage supply costs, tracks inventory usage, using purchasing information management systems. This includes maintaining staffing levels that adhere to Dignity Health Medical Foundation labor standards. Works with management to adjust these standards as needed based on volume and quality of care needed. In conjunction with Quality Management, supports management to develop systems for incident/problem identification and appropriate resolution and feedback processes. Assists in the completion of Continuous Quality Improvement audits, data analysis and report preparation. Develops and recommends improvements to processes in all areas of responsibility in conjunction with management. Determines workload priorities to enable timely completion of tasks. Plans, coordinates and supervises staff and physicians to meet clinic's administrative, operational, and support requirements. Prioritizes and allocates staff, space, equipment and other resources to optimize clinical service. This includes ensuring adequate coverage for standard and non-standard hours of operations. Establishes performance standards that are clearly communicated and able to be objectively measured. Monitors work performance of staff as well as physicians and provides necessary training, coaching, and mentoring. Provides regular feedback to employees so they are aware how their performance is being assessed. Conducts formal performance evaluations that are constructive tools for communication with staff and physicians. For non-represented staff, initiates corrective action, including letters of counseling, letters of warning, suspensions and dismissals.

Requirements

  • High school diploma or equivalent
  • Three (3) years of Outpatient Clinic Experience
  • Demonstrated ability to effectively supervise productive, engaged teams and work with providers.
  • Knowledge of or ability to learn the budgeting process, management reports, accounting, purchasing and patient billing process and systems.
  • Knowledge of computers, systems and software, including word processing, spreadsheet, database, clinical information systems, electronic medical records, billing systems, and other application packages.
  • Health insurance knowledge of HMO, PPO and capitated risk plan contracts as they relate to providers and practices

Nice To Haves

  • Previous out-patient practice management experience.
  • Previous experience in the assigned medical group.
  • Previous lead or supervisory experience in a union environment
  • Bachelor's degree in business, finance or healthcare administration or related field, or equivalent combination of experience and education
  • RN or LVN license & experience
