About The Position

The Clinic Staff Assistant I directly interacts with patients on the phone and/or face-to-face to support the front office operations of the outpatient clinics. This role maintains a strong patient-centered focus, consistently demonstrating compassion, empathy, and professionalism when assisting patients and their families. The position features a structured career ladder with opportunities for advancement based on performance and the assumption of increased responsibilities. Under close supervision, the employee is expected to develop proficiency in at least two clinical front office workflows within six months. As a member of the float pool, this role requires a high degree of flexibility and adaptability. The selected candidate will provide coverage and operational support across multiple clinic locations in response to staffing and business needs. Work schedules may vary, and the employee must be flexible with regard to hours, including potential changes in start and end times. This position may involve reporting to different sites on a daily basis; therefore, reliable transportation is essential. The ideal candidate is dependable, responsive to shifting priorities, and comfortable collaborating with diverse teams in a variety of clinical environments.

Requirements

  • High School Diploma or GED
  • <1 year And/or related experience

Responsibilities

  • Learns and demonstrates proficiency in a minimum of one (1) of the following clinical front office operations: Patient Registration and Scheduling, Patient Access Call Center, Patient Arrival & Admitting, Patient Financial Services/Collections, Patient After Visit Scheduling, Medical Insurance Verification, Internal & External Referrals Management, Procedure Precertification & Authorization.
  • Learns and maintains up-to-date knowledge of the EPIC electronic medical record (EMR) system, front office clinical workflows and policies and procedures.
  • Delivers superior customer service, representing UT Southwestern in a positive and professional manner to patients, colleagues and the community.
  • Builds rapport and communication with internal and external team members to ensure best outcomes for the patient in a comprehensive clinical care model.
  • Maintains patient confidentiality in accordance with HIPAA and UT Southwestern policy.
  • Maintains neatness of customer waiting area; keeps area stocked with pamphlets and other materials as appropriate.
  • Ensures adequate inventory of items necessary for day-to-day functions of clinic, such as office supplies and patient forms.
  • Performs other duties as assigned.
