About The Position

Seen Health is looking for a highly organized and proactive Clinic Scheduler to help ensure our participants receive timely access to care through our external provider network. This role coordinates external referrals, provider orders, and authorizations while serving as a key connector between our clinical teams, provider network team, health plans, and external providers. You'll be responsible for keeping referrals moving, resolving barriers, and ensuring details don't fall through the cracks. We're looking for someone who goes beyond simply executing orders. You'll get the opportunity to identify gaps in network access, speak up when processes aren't working, and help build better ways of coordinating care with external providers. The ideal candidate is energized by solving problems, comfortable with ambiguity, and motivated to continuously improve how we work.

Requirements

  • 2+ years of experience in healthcare operations, referral coordination, authorizations, medical scheduling, care coordination, or a related field.
  • Working knowledge of healthcare workflows, including referrals, provider orders, authorizations, and insurance processes.
  • Exceptional attention to detail and strong time-management and organizational skills.
  • Ability to manage multiple time-sensitive requests and priorities while maintaining accuracy.
  • Strong communication skills and confidence working with clinical teams, internal stakeholders, and external provider offices.
  • A proactive problem solver who naturally looks for ways to improve processes rather than simply following existing workflows.
  • Comfortable operating in ambiguity and working through issues that require coordination across multiple teams.
  • Comfortable in a primarily desk-based, coordination-focused role.
  • Strong computer and systems skills, with the ability to learn new tools and workflows quickly.

Responsibilities

  • Coordinate external referrals, authorizations, and specialist appointments from initiation through completion, including contacting provider offices directly to schedule appointments and ensure timely access to care.
  • Review orders and referral information for completeness and work with clinical teams to resolve missing information or issues.
  • Track authorization status, appointments, and outstanding actions to ensure referrals move forward without unnecessary delays.
  • Communicate with health plans and external provider offices to resolve authorization, scheduling, and access barriers.
  • Maintain accurate and timely documentation in the EMR and other relevant systems.
  • Serve as a key connector between clinical teams, provider network teams, and external providers to facilitate seamless coordination of care.
  • Build strong relationships with external provider offices and proactively surface network access, availability, and coordination challenges.
  • Partner across teams to strengthen external provider partnerships and improve how we coordinate care.
  • Identify recurring gaps and bottlenecks in referral and authorization workflows and recommend practical improvements.
  • Help build and refine processes, tools, and tracking mechanisms as Seen Health's external provider network grows.
  • Take ownership of complex or ambiguous problems through resolution, collaborating across teams to find effective solutions.
