The Medical Group offers primary care, specialty care, behavioral and mental health, urgent care, outpatient surgery, endoscopy, imaging, cardiac testing, and infusion across Massachusetts, New Hampshire, and Maine. This specific position is located at 150 Marketplace Blvd Unit 9 Rochester, New Hampshire 03867, providing primary care and obstetrics-gynecology care for families and individuals of all ages, as part of Wentworth-Douglass Hospital and Mass General Brigham, serving the greater Rochester community. The organization is seeking a full-time (40 hours/week) Clinic/Practice Assistant. The schedule is Monday-Friday, 8-hour shifts from 8:30am-5:00pm. The role involves checking patients in and out, scheduling follow-up appointments, processing referrals, handling insurance calls and authorizations, retrieving medical records, and collecting necessary forms. The ideal candidate thrives in a busy environment, possesses strong customer service skills, communicates effectively, and demonstrates a team-oriented mindset and professionalism. The Clinic/Practice Assistant performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision, including basic clerical and routine tasks related to patient visits such as scheduling, check-in, and check-out duties. Responsibilities

  • Checking patients in and out
  • Scheduling follow-up appointments
  • Processing and sending referrals
  • Handling insurance calls and authorizations
  • Retrieving medical records
  • Collecting necessary forms and documentation
  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office
  • Make patient appointments and maintain appointment records
  • Greet and assist patients
  • Answer telephones, assist callers with routine inquiries, and schedule appointments
  • File materials in patient folders, and print appointment schedules
  • Process patient billing forms and scan documents to patient medical record/LMR
  • Call for patient medical records and laboratory test results
  • Open and distribute unit mail or faxes
  • Type forms, records, schedules, memos, etc., as directed
  • May be required to accept co-payments
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results
  • Acts as "Super User" for scheduling, registration and billing systems
  • Provides assistance and training to others in these areas
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level
