About The Position

The Division of Oral and Maxillofacial Surgery and Dentistry at Massachusetts General Hospital seeks a Senior Clinic Practice Assistant to support high‑quality patient care and efficient clinical operations. This role provides dedicated administrative and scheduling support to an Oral Surgery provider while also serving as a key member of the Clinic Practice Assistant team, offering reliable cross‑coverage and contributing to a collaborative, patient‑focused environment. Responsibilities include managing patient appointments, performing check‑in and check‑out functions, assisting callers, processing billing forms, and maintaining accurate records in EPIC. The Senior Practice Assistant acts as a departmental “Super User” for scheduling, registration, and billing systems, offering guidance and training to colleagues. The role may also handle more advanced tasks such as surgical scheduling, schedule adjustments, and triaging messages related to prior authorizations, prescription refills, and provider inquiries. The position is full‑time, Monday–Friday, 8:30 AM–5:00 PM. After successful completion of the training/probationary period and demonstration of strong competency in all responsibilities, one remote workday per week may be available.

Requirements

  • High School Diploma or Equivalent required
  • Office experience 3-5 years required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Performs administrative functions to support smooth and efficient clinical service and practice operations.
  • Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries and triage matters appropriately.
  • Process patient billing forms and scan documents to patient medical record (EPIC).
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
