Join our Physiatry team as a Clinic/Practice Assistant and play an important role in creating a smooth, welcoming experience for patients, providers, and care teams. In this role, you will support the day-to-day operations of a busy clinical practice by performing a variety of administrative and clerical responsibilities. You will help keep schedules moving, assist patients with appointments and check-in/check-out needs, coordinate records and documentation, and serve as a key point of contact for patients and internal teams.

Requirements

  • High School Diploma or equivalent required.
  • 2–3 years of office experience required.
  • Proficiency with Microsoft Office applications and general office operations, including filing, copying, scanning, printing, and faxing.
  • Strong phone skills with the ability to manage routine and non-routine calls professionally.
  • Excellent written and verbal communication skills, including composing and editing emails, memos, and letters.
  • Strong organization, attention to detail, and time management skills.
  • Ability to manage multiple priorities, follow established protocols, and work effectively within clinical systems.

Nice To Haves

  • Certified Medical Administrative Assistant (CMAA) preferred.

Responsibilities

  • Make and maintain patient appointments while helping ensure schedules are accurate and efficient.
  • Greet and assist patients, creating a positive and professional first impression.
  • Answer phone calls, respond to routine inquiries, take messages, and help patients navigate appointment needs.
  • Support check-in and check-out processes and assist with administrative needs related to patient visits.
  • File, scan, print, fax, and organize documents related to patient care and practice operations.
  • Process billing forms, co-payments when required, and documentation for the medical record.
  • Request patient medical records, laboratory results, and other information needed by the care team.
  • Open and distribute mail or faxes and type forms, records, schedules, memos, and other materials as directed.
  • Assist with messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Serve as a resource for scheduling, registration, and billing systems, including providing support or training to others as needed.
  • Perform more complex or specialized functions, such as surgical scheduling or schedule changes, as appropriate for the department.
