Our practice is located in a state-of-the-art facility at 10 Members Way, Suite 500 in Dover, NH 03820. As an Internal Medicine office, we provide outstanding primary care and preventative health care to adult patients. We are seeking a highly organized and customer-focused team member to join our fast-paced, high-volume practice, operating Monday through Friday from 9:00 AM to 5:30 PM. This role is part of a collaborative 13-person front-end team responsible for managing a large volume of incoming calls, patient intakes, and insurance authorizations. Responsibilities include checking patients out, scheduling follow-up appointments, processing and sending referrals, handling insurance calls and authorizations, retrieving medical records, and collecting necessary forms and documentation. Team members are cross-trained to support multiple functions, including check-in, ensuring flexibility and seamless patient flow. The ideal candidate thrives in a busy environment, demonstrates strong customer service skills, communicates effectively, and remains calm under pressure. A team-oriented mindset, resilience, and the ability to maintain professionalism in a high-demand setting are essential for success in this role. Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties. Requirements

  • High School Diploma or Equivalent required
  • office experience 2-3 years required
  • Strong computer skills

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] preferred
  • Experience working in customer service or in a healthcare setting preferred
  • Demonstrated knowledge of medical terminology preferred.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • During the patient's visit, the focus is check-in, which includes greeting patients, answering all of their questions, collecting co-payments, and assisting with any pre-visit paperwork/forms.
  • At the conclusion of the visit, during check-out, Patient Service Representatives are tasked with the completion of forms and scheduling follow-up appointments, tests, and/or procedures.
  • Other duties include fielding all incoming telephone calls and transferring appropriately, performing referral/diagnostic/lab orders processing duties, monitoring patient flow and waiting room activity, and providing general support to practice leadership, clinicians, and peers.
