About The Position

Mass General Brigham Medical Group Northern Massachusetts, Inc. is seeking a full-time team member to join their practice, working 40 hours per week, Monday through Friday from 8:30 AM to 5:00 PM, based at their 250 Paradise Road location in Swampscott, MA. This is a dynamic, dual-role position that includes responsibilities across the front desk, phones, and scanning, with team members cross-trained to support multiple functions. While phone coverage is handled separately from the front desk, this role will include rotating support on the phones a few days each week. You’ll be part of a collaborative team of eight staff members. The ideal candidate will bring direct healthcare administrative experience in a primary care setting along with strong customer service skills. We are seeking someone who thrives in a fast-paced environment, is highly organized, and is able to manage multiple priorities effectively. Experience working with Epic is highly preferred. The role performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits, including scheduling, check-in, and check-out duties. Actual job duties may vary by Department. Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Dedicated to administrative support, our clinic/practice assistants serve as the gatekeepers of our practices and ensure that teams are delivering the highest quality experience that exceeds our patients' expectations. Requirements

  • High School Diploma or Equivalent required
  • office experience 2-3 years required
  • Healthcare admin experience in a primary care setting
  • 2 years of experience working in a community-based medical practice

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] preferred
  • Epic experience preferred

Responsibilities

  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical records/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Acts as "Super User" for scheduling, registration, and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
