About The Position

Mass General Brigham Medical Group Northern Massachusetts, Inc. is seeking a full-time Clinic/Practice Assistant for their Family Medicine practice. This is a dynamic, dual-role position that includes responsibilities across the front desk, phones, and scanning, with team members cross-trained to support multiple functions. The role involves performing both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. The Medical Group is a system-led operating entity formed by Mass General Brigham to deliver high quality, low cost, innovative community-based ambulatory care, aiming to bring health care closer to patients while lowering total health care costs. The group provides a wide range of offerings including primary care, specialty care, behavioral and mental health, urgent care, outpatient surgery, endoscopy, imaging, cardiac testing, and infusion. The position is based at the 250 Paradise Road location in Swampscott, MA, working 40 hours per week, Monday through Friday from 8:30 AM to 5:00 PM. The team is collaborative and consists of eight staff members. The ideal candidate will have strong customer service experience and thrive in a fast-paced outpatient environment, ensuring the highest quality patient experience.

Requirements

  • High School Diploma or Equivalent required
  • 2-3 years of office experience required
  • Strong customer service experience
  • Ability to multi-task and prioritize in an outpatient setting

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] preferred
  • 2 years of experience working in a community-based medical practice
  • Epic experience preferred
  • Customer-focused mindset

Responsibilities

  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical records/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Acts as "Super User" for scheduling, registration, and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
  • Serve as the gatekeepers of our practices and ensure that teams are delivering the highest quality experience that exceeds our patients' expectations.
