This group offers a wide range of services including primary care, specialty care, behavioral and mental health, urgent care, outpatient surgery, endoscopy, imaging, cardiac testing, and infusion across Massachusetts, New Hampshire, and Maine. Dover Family Practice, located in a state-of-the-art facility at 10 Members Way, Dover, NH 03820, is a Family Medicine office dedicated to providing personal, compassionate, and outstanding primary and preventive health care to patients of all ages. The practice focuses on relationship-building to ensure personalized care in a comfortable, friendly atmosphere. They are seeking a full-time, 40-hour Clinic/Practice Assistant with a standard schedule of 7:15 AM to 3:45 PM, though flexibility is required for team coverage, with shifts occasionally extending to 5:30 PM. The role involves patient check-in/out, phone management, and significant back and front office administrative support within a close-knit, collaborative team of 4 front desk staff, 7 providers, 7 medical assistants, and 4–5 nurses. The ideal candidate should possess strong customer service skills and comfort with computer systems.

Requirements

  • High School Diploma or Equivalent required
  • 0-1 year healthcare office experience required
  • Strong customer service skills
  • Comfort with navigating computer systems

  • Experience in customer-facing roles, particularly within the service industry

Responsibilities

  • Perform both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close to general supervision.
  • Perform basic clerical work and tasks that are repetitive and routine.
  • Handle administrative duties related to patient visits including scheduling, check-in, and check-out duties.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handle, screen and/or take messages related to prior authorizations, referrals, and verify registrations for accuracy.
  • May monitor patients in waiting room and respond to any needs for information.
  • Assist in patient flow processes.
