About The Position

The Elfers Cardiovascular Center, located at Newton-Wellesley Hospital, provides comprehensive outpatient care for patients at high risk of heart disease, including diagnosis, management of acute and chronic conditions, and preventive care. This is a full-time, 40-hour onsite role, Monday through Friday, 8:30 am to 5:00 pm. The position involves performing both administrative and clinical functions to ensure smooth and efficient operations of the clinical service or practice, with minimal supervision. Duties include patient scheduling, check-in, check-out, and processing billing forms, with the potential to act as a "Super User" for scheduling, registration, and billing systems, providing training and support to colleagues. The role may also involve functional guidance to other Office and Practice Assistants and overseeing daily practice activities in conjunction with a Supervisor. Some roles may require accepting co-payments and handling messages related to prior authorizations, provider questions, prescription refills, and test results.

Requirements

  • High School Diploma or Equivalent required
  • office experience 3-5 years required

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries, and schedule appointments.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Act as "Super User" for scheduling, registration and billing systems.
  • Provide assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Provide functional guidance to Office and Practice Assistants.
  • In conjunction with Supervisor oversees daily activities of practice staff.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
