About The Position

The Clinic Operations Manager owns the day-to-day operational performance and system reliability of the KIC Tribal Health Clinic's operations. This position ensures that clinic workflows, staffing systems, scheduling, access, productivity, and operational processes function effectively to support high-quality clinical care. The Clinic Operations Manager works in close partnership with the Medical Director and Director of Nursing, translating clinical priorities into reliable operational systems, and may directly supervise assigned clinic administrative staff. This role does not provide clinical supervision, set clinical standards, or direct clinical practice. The Clinic Operations Manager serves as the primary owner of operational accountability for the clinic's access, scheduling, and front-of-house functions — supporting access improvement, workflow consistency, staff efficiency, accreditation readiness, and continuous operational improvement as KIC advances further toward integrated and access-focused model of care.

Requirements

  • Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Nursing, or a related field.
  • Five (5) years of experience in healthcare operations or clinical administration, including at least one (1) year in a supervisory or team lead capacity.
  • Demonstrated experience managing budgets, financial performance, and operational planning.
  • Advanced knowledge of healthcare regulations, accreditation standards, and compliance requirements.
  • Demonstrated ability to lead process improvements and optimize clinic efficiency.
  • A combination of relevant experience, education, and training may substitute for education and experience requirements on a year-for-year basis.
  • Knowledge of ambulatory clinic operations and healthcare delivery systems.
  • Knowledge of accreditation standards (CARF, AAAHC) from an operational perspective.
  • Knowledge of change management and leadership principles.
  • Strong organizational, problem solving, and systems thinking skills.
  • Strong project management skills.
  • Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) Tribal culture and lifestyle, working effectively with AI/AN populations.
  • Effective oral and written communication skills with sensitivity to the lifestyles of targeted participants.
  • Proficiency with electronic health records, scheduling systems, and standard office software.
  • Ability to analyze operational data and translate findings into improvement actions.
  • Ability to influence and work collaboratively with clinic leadership and staff without clinical authority.
  • Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts.
  • Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws and KIC policy (HIPAA, HITECH, etc.).
  • Ability to learn and apply program/agency operating policies and procedures.
  • Ability to manage multiple priorities and tasks concurrently and meet deadlines.
  • Ability to work independently as well as with teams.

Nice To Haves

  • Master's degree in Healthcare Administration, Business Administration, Public Health, Nursing, or a related field.
  • Seven (7) or more years of experience in a healthcare leadership role, in a tribal or rural setting.
  • Relevant professional certification (CMM, FACHE, or similar).
  • Experience in strategic planning, program development, and organizational leadership in a healthcare setting.
  • Advanced experience with data analysis, dashboards, and performance improvement initiatives.

Responsibilities

  • Supervises assigned clinic administrative staff, including hiring, onboarding, performance management, and professional development.
  • Assists in developing and managing the clinic budgets, including staffing and operational costs, and monitors expenditures against targets.
  • Monitors clinic productivity, access to care metrics, and operational performance, using data to drive improvements.
  • Oversees day-to-day clinic operations — scheduling, patient access, front-desk and administrative workflows — to ensure efficient, reliable service delivery.
  • Designs, implements, and evaluates clinic workflows to support patient access.
  • Identifies operational barriers and leads improvement initiatives to address delays, inefficiencies, and/or inconsistencies.
  • Develops and maintains staffing models and scheduling systems aligned with clinic demand and clinical input; monitors staffing coverage, capacity, and productivity trends.
  • Trains, mentors, and orients staff to improve workflow alignment and communication.
  • Partners with the Medical Director and Director of Nursing on staffing planning and coverage strategies; serves as their primary operational partner.
  • Acts as a liaison between Clinic Administration and other clinic departments (Dental, Behavioral Health, Pharmacy, etc.) on operational matters — scheduling, access, and workflow — to promote integrated care.
  • Coordinates operational readiness for accreditation and regulatory reviews (AAAHC) in collaboration with clinical leadership and the Quality Department.
  • Collaborates with the Quality Department to track and report key performance metrics such as patient volume, no-show rates, provider productivity, and other quality initiatives.
  • Collaborates with the Quality Department to prepare for surveys, conduct internal audits, and respond to identified deficiencies or improvement opportunities.
  • Collaborates with Finance and Revenue Cycle Department to ensure clinic operations effectively captures and grows revenue; identifies and leads initiatives to increase revenue.
  • Assists in the development, review, and revision of clinic operational policies and procedures in collaboration with clinical leadership, to ensure alignment with regulatory standards and organizational goals.
  • Leads operational process improvement initiatives using structured methodologies.
  • Assists with departmental responsibilities such as Patient Experience and Incident and Adverse Event tracking.
  • Communicates operational expectations, changes, and performance data clearly and effectively.
  • Builds collaborative relationships across clinical, administrative, and support teams.
  • Utilizes change management principles and maintains effective working relationships to influence others to meet organizational goals without direct authority.
  • Participates in leadership meetings, committees, and workgroups as assigned.
  • Other related duties as assigned.
