About The Position

Provides indirect patient care in the office setting. Greets and registers patients. Verifies patient demographic and insurance information. Performs clerical duties. Meets the communication needs of the patient/family, office staff and the medical staff. Participates in performance improvement activities. Answers and screens phone calls and takes messages. Schedules appointments. Obtains billing information. Checks in patients.

Requirements

  • High School Graduate or equivalent.
  • Four (4) year of clerical experience in a medical environment.
  • Completion of medical terminology course
  • Maintain regulatory requirements
  • Report to work on time and as scheduled; complete work within designated timelines.
  • Demonstrates the ability to adhere to the mission, ethics and goals of the District.
  • Demonstrates the ability to communicate with patients, guests and staff in a courteous, respectful and helpful manner.

Nice To Haves

  • Medical Office degree is preferred. (Can be in lieu of 4 years’ experience)

Responsibilities

  • Ensures services are provided in an effective and efficient manner when providing secretarial, clerical and administrative support.
  • Registers all patients.
  • Gives new patients medical forms to complete.
  • Verifies patient demographic, employment and insurance information.
  • Performs all aspects of patient care in a front office environment that optimizes patient safety and reduces the likelihood of medical/health care errors.
  • Supports and maintains a culture of safety and quality.
  • Explains billing policies, collects copayments; refers patients without insurance to patient financial services office.
  • Schedules new and return appointments; explains registration process and gives directions to new patients; may explain procedure preparation to patients.
  • Answers the telephone in a professional and courteous manner; takes messages; directs calls to appropriate staff members.
  • Collects payments, writes receipts, and balances petty cash.
  • Maintains a good working relationship with office staff members and physicians.
  • Train and mentor new front office staff.
  • Tracks supply needs for the front office department.
  • Communicates with staff clearly and appropriately.
  • Works directly with clinic leadership on QI/PI projects and initiatives.
  • Have high levels of critical thinking and negotiation skills with the ability to interact with a broad spectrum of individuals.
  • Maintains a good working relationship with supervisors/managers of other departments.
  • Informs the Clinic Assistant Manager and/or the Clinic Director of any issues that come up in the front office department.
  • Can effectively work in multiple roles within the front office department and is cross trained to work in at least one other department.
  • Balance multiple priorities and effectively handle challenging situations and patients.
  • EMR super-user and trainer for front office positions.
  • Works closely with informatics department to develop/maintain workflows and processes for the clinic front office department.
  • Serves as first line for any issues/complaints that come through the front office department.
  • Acts as an excellent role model and customer service resource
