About The Position

The Clinic Manager manages the overall operation of the Vascular Access Centers, encompassing quality assurance, patient care, financial management, physician relations, safety, risk management, teammate management, equipment maintenance, and inventory. This role ensures compliance with OSHA, Joint Commission (JCAHO) standards, and other regulatory agencies. The Clinic Manager directly supervises mid-level managers and all teammates within assigned centers, with full responsibility for recruitment, hiring, retention, performance development, performance management, salary adjustments, and termination of direct reports.

Requirements

  • Bachelor’s degree in a related field required.
  • Minimum of 5 years’ experience in healthcare management required.
  • Minimum of 2 years’ experience with multi-site management.
  • Minimum of 6 months’ experience in Outpatient surgery.
  • Experience in dialysis or endovascular services.
  • Advanced computer skills and proficiency in MS Word, Excel, PowerPoint, and Outlook required.
  • Demonstrated strengths in organizational, attention-to-detail, follow-through, analytical, reasoning, critical thinking, and problem-solving skills.
  • Strong understanding of business process with the ability to translate business requirements into clinical requirements and deliver high quality patient care.

Responsibilities

  • Utilizes AIDET/customer service standards and demonstrates Panoramic Health Standards of Behavior.
  • Reviews patient schedules to maximize patient service, accommodating emergency patients and preparing charts.
  • Opens the access center on a daily basis.
  • Performs administrative support activities such as correspondence, filing, faxing, and mailing.
  • Answers and routes incoming telephone calls appropriately.
  • Monitors, maintains, and orders office supplies and equipment.
  • Serves as a liaison between physicians and referring facilities, ensuring procedure results are forwarded.
  • Verifies patient insurance and obtains referrals if necessary.
  • Coordinates dialysis treatments and transportation for patients.
  • Forwards billing information to the appropriate central resource.
  • Maintains patient confidentiality and adheres to HIPPA regulations.
  • Participates in community education activities and programs.
  • Manages direct reports, including performance management and employee development.
  • Performs other duties and responsibilities as required, assigned, or requested.
  • Extends service lines by growing vascular programs and supporting marketing and data collection.
  • Optimizes the revenue cycle through verification, authorization, and denial avoidance.
  • Participates in regular bi-weekly calls with the ROPS team.
  • Optimizes patient schedules to limit gaps, allow add-ons, and fill rooms.
  • Optimizes teammate schedules and hours worked to align with patient census.
  • Supports agenda creation and presentations during Monthly Operations meetings.
  • Provides a standing weekly and monthly report to the ROD.
  • Maintains intra-month performance awareness.
  • Questions, analyzes, and assesses business performance weekly.
  • Plans or converts new sites.
  • Supports EMR alignment (Athena or NextGen).
  • Validates monthly data to ensure agreement across schedule, superbill, claims, EMR, Case Cost, and clinical reporting.
  • Acts as a Provider of Choice through a unit satisfaction program.
  • Measures the effectiveness of marketing programs and outreach RNs.
  • Analyzes market data to prioritize outreach and education plans.
  • Conducts monthly communication with dialysis leadership to monitor quality, timeliness, and coordination.
  • Proactively solicits feedback and offers community educational outreach activities.
  • Manages relationships throughout the organization at all levels in a professional manner.
  • Serves as the first line relationship manager for physicians and practices.
  • Manages center budget and inventory relative to patient volume.
  • Implements policies and procedures as established by management.
  • Presents and explains monthly financial information to practice physicians.
  • Updates analytics and comparative metrics to drill into monthly results.
  • Collaborates with the reimbursement department to facilitate billing effectiveness.
