About The Position

The Secretary/Receptionist performs general clerical support and office duties for the department and its Management. This role involves basic administrative functions such as preparing business correspondence, memorandums, informational packages, training materials, and reports. The assistant also helps with scheduling, maintains calendars and daily schedules, and keeps departmental tracking logs. Key duties include greeting visitors, directing them appropriately, establishing and maintaining filing systems and basic databases, and performing routine office tasks like filing, copying, and scanning. The position provides general clerical support to management staff, including scheduling meetings, routing phone calls, taking messages, recording meeting minutes, sorting and distributing mail, and maintaining office supplies. The assistant is expected to escalate issues to their supervisor when necessary and assist with various projects as assigned. Additional responsibilities may include focus on one or more departments or locations.

Requirements

  • 1 – 2 years’ related experience.
  • Knowledge of office procedures required.
  • Proficient in Microsoft office applications.
  • Good interpersonal and communication skills required.
  • Pleasant telephone manner.
  • High School Diploma required.

Responsibilities

  • Records minutes of meetings and providing the resulting documents as necessary.
  • Sorts and distributes mail.
  • Maintains inventory of the necessary office forms and supplies.
  • Escalates issues to supervisor for resolution, as deemed necessary.
  • Assist with various projects as assigned by direct supervisor.
  • Other duties as assigned.
