Requirements

  • Strong organizational and critical thinking skills, high attention to detail, and the ability to manage multiple clients, tasks, and deadlines while following through consistently.
  • Sound judgment and discretion in handling confidential client and financial information.
  • Clear and professional written and verbal communication skills, and comfort communicating by phone and email with clients and attorneys.
  • Growth mindset, with a willingness to learn, take on new challenges, and continuously improve.

Nice To Haves

  • 1 to 3 years of experience in financial-related planning services.
  • Experience with the Charles Schwab, AssetMark, and RightCapital platforms.
  • An active Series 65 license.

Responsibilities

  • Manage client onboarding and documentation needs.
  • Elevate the client experience through active coordination, outreach, and execution of general account maintenance that fosters firm growth.
  • Gather client information and prepare account opening paperwork, confirming that each new account is complete, accurate, and accompanied by all required agreements and disclosures.
  • Proactively follow up with current and prospective clients to obtain outstanding documents and signatures, keeping every file complete and on track.
  • Serve as a reliable point of contact for routine client and attorney communications, responding professionally and bringing matters to the advisory team as appropriate.
  • Coordinate and schedule meetings among clients, attorneys, and advisors, and prepare and proof presentation materials so each meeting is clear and accurate.
  • Track open accounts and process account-related transactions on an administrative, non-trading basis, keeping records accurate and current.
  • Monitor accounts and cash against client investment objectives, guidelines, and restrictions, escalating anything outside those parameters to the advisory team.
  • Maintain organized, accurate, and up-to-date records across the firm's account and planning platforms, following firm standards for naming, version control, and storage.
  • Distribute approved client and marketing materials, ensuring each is current and accurate.
  • Support the firm's compliance calendar under the direction of the Chief Compliance Officer, including helping prepare, review, and schedule annual ADV updates and assisting with recurring recordkeeping and reporting tasks.
  • Maintain compliance records and help track recurring reviews, flagging items that need the CCO's attention.
