About The Position

The Client Services Officer is a service-oriented grants professional responsible for managing complex grant activities across donor-advised, scholarship, and community-aligned funds while ensuring compliance, accuracy, efficiency, and a high-quality experience for donors, nonprofit partners, scholars, students, and internal stakeholders. This role serves as a subject-matter expert and trusted relationship manager, providing guidance on grantmaking policies and regulations, overseeing due diligence and grant processes, resolving complex issues, and supporting stakeholders throughout the grant lifecycle. The Client Services Officer also leads process improvements, strengthens data quality and reporting, supports the effective use of grants technology and systems, and collaborates across departments to develop innovative, efficient, and customer- and community-centered grant operations that advance CCF’s mission and priorities.

Requirements

  • Bachelor’s degree in Business, Public Administration, or a related field, or equivalent relevant experience.
  • Minimum of four years of professional experience with a foundation, nonprofit, or public-sector agency.
  • Minimum of four years of experience with advanced technology systems, including constituent relationship management, data management, grantmaking systems, and supplemental applications such as Salesforce, Docusign, JotForm, and AI tools.
  • Demonstrated experience leading process improvements through the evaluation, refinement, and implementation of more efficient workflows.
  • Strong knowledge of grantmaking, scholarship, and nonprofit regulations and best practices.
  • Demonstrated ability to analyze, synthesize, and present data and insights through reports, charts, and other communications.
  • Strong organizational and project-management skills, with the ability to manage complex and varied workflows, multiple stakeholders, and competing deadlines.
  • Excellent interpersonal, verbal, and written communication skills, with the ability to communicate complex, sensitive, and controversial issues to diverse audiences.

Responsibilities

  • Manage the full lifecycle of standard and complex grants, including donor-initiated, discretionary, scholarship, and community-aligned grants, ensuring accuracy, compliance, timeliness, and data integrity.
  • Serve as a trusted point of contact for donors, fund advisors, scholarship committees, students, nonprofit partners, and internal stakeholders, providing responsive guidance and resolving questions and issues.
  • Oversee due diligence, grant structuring, recipient status reviews, purpose reviews, documentation, and process controls to ensure grants meet regulatory and CCF requirements.
  • Provide subject-matter expertise on grantmaking, scholarship, and nonprofit regulations, translating complex policies and requirements into clear, practical guidance and workflows.
  • Monitor and improve grant operations, identifying process gaps, bottlenecks, and opportunities to streamline workflows, reduce rework, and improve the client experience.
  • Maintain accurate and reliable grant data, records, coding, and documentation while developing reports and presenting data-driven insights to support decision-making.
  • Support the effective use of grants management systems and technology by developing training, job aids, templates, dashboards, and other resources for staff and stakeholders.
  • Serve as an escalation point for complex, sensitive, and time-sensitive donor and grantee matters, balancing compliance, risk, relationships, and CCF’s mission.
  • Collaborate with Finance, Legal, Office of Philanthropy, Policy and Advocacy, Community Investment and Engagement, Impact & Outcomes, and other teams to strengthen grant operations and service delivery.
  • Provide training, coaching, and best-practice guidance to colleagues while supporting cross-functional projects, task forces, and organizational initiatives.
  • Analyze and synthesize information from nonprofit partners and grant activity to develop meaningful reports, charts, and insights that support CCF’s grantmaking and institutional priorities.
  • Represent CCF professionally with donors, nonprofit partners, community stakeholders, and external partners while maintaining a high standard of customer and community-centered service.
