About The Position

As a Client Services Intake and Dispatch Coordinator at Rytech Restoration, you are the first point of contact for customers dealing with property damage and the operational hub connecting customers with service teams. You help move each job forward from the initial call through the final update. Rytech Restoration provides residential and light commercial property restoration services, including water damage restoration, mold remediation, and property recovery. It is part of Fortify Companies.

Requirements

High school diploma or equivalent.
At least 1 year of customer service, dispatch, or administrative experience.
Excellent written and verbal communication skills.
High attention to detail and accuracy in data entry and documentation.
Ability to manage multiple priorities in a fast-paced, high-volume environment.
Comfort navigating multiple software systems and email platforms simultaneously.

Nice To Haves

Experience in restoration, insurance claims, dispatch, or call center operations.
Familiarity with CRM or job management platforms.
Experience handling escalations or service recovery situations.

Responsibilities

Manage incoming call queues and provide professional, empathetic service to customers in high-stress situations.
Assign and dispatch service requests to technicians via email and internal platforms.
Enter and update assignments, notes, and scheduling details across multiple systems.
Track job status and ensure timely updates, including inspection schedules and completion milestones.
Follow up proactively on assignments and address delays, rejections, or missing information.
Communicate with technicians, vendors, customers, and internal teammates throughout each job.
Maintain detailed, organized documentation so the team has visibility into job progress.
Identify workflow gaps or inefficiencies and flag them for improvement.
Perform other duties as assigned to support the team and business.
