Nice To Haves

  • Experience supporting a Business Development or Sales team.
  • Experience managing RFQs, quotations, or customer projects.
  • Familiarity with CRM software such as Salesforce, HubSpot, Microsoft Dynamics, or similar.
  • Experience in label, packaging, printing, or manufacturing industries preferred.
  • Understanding of sales pipeline management and customer qualification processes.

Responsibilities

  • Pull production and stock samples to support customer requests, sales presentations, and new business opportunities.
  • Assist with customer onboarding activities, including customer setup and documentation collection.
  • Support Account Managers and Client Services Representatives with administrative tasks and customer requests.
  • Assist with preparing customer presentations, proposals, quotations, and sales support materials.
  • Coordinate customer follow-up after meetings, webinars, trade shows, and sample shipments.
  • Prepare customer meeting agendas and assist with documenting meeting action items.
  • Maintain customer opportunity tracking within the CRM system.
  • Assist in developing customer-specific sales presentations and business reviews.
  • Assist in identifying and qualifying prospective customers through industry research, databases, referrals, trade shows, and marketing campaigns.
  • Conduct initial screening of prospective customers to determine market fit, application requirements, and sales potential.
  • Generate and distribute Requests for Quote (RFQs) to estimating and internal departments while ensuring all required customer information is complete.
  • Coordinate RFQ follow-up activities and monitor quote turnaround times.
  • Track open quotations and proactively follow up with customers regarding pending opportunities.
  • Monitor quote expiration dates and coordinate quote renewals as needed.
  • Maintain sales opportunity pipeline reports and assist Account Managers in managing follow-up activities.
  • Support outbound prospecting efforts including introductory emails, LinkedIn outreach, appointment scheduling, and follow-up communications.
  • Assist in identifying cross-selling and upselling opportunities within existing customer accounts.
  • Research target accounts, gather competitive intelligence, and prepare prospect profiles for the sales team.
  • Coordinate customer sample requests generated from prospecting activities.
  • Track new business opportunities from initial inquiry through order placement.
  • Assist with preparing bid documents, customer qualification forms, supplier questionnaires, and NDA documentation.
  • Ensure all customer interactions are accurately documented.
  • Assist in managing customer communications throughout the sales and order cycle.
  • Monitor customer activity and notify Account Managers of potential growth opportunities or concerns.
  • Support account retention efforts through proactive customer outreach.
  • Generate reports from ERP and CRM systems as requested.
  • Process and maintain customer documents, specifications, and related records.
  • Assist with preparing spreadsheets, reports, and correspondence.
  • Assist in scheduling customer meetings, conference calls, webinars, and facility visits.
  • Communicate with Production, Graphics, Estimating, Scheduling, Purchasing, Quality, Shipping, and other departments to support customer requirements.
  • Coordinate sample requests and product information needed for customer projects.
  • Track and communicate the status of quotations, samples, and customer deliverables.
  • Assist with gathering technical information required for customer inquiries and quotations.
  • Support new product launches and customer qualification projects.
  • Participate in continuous improvement initiatives supporting sales processes.
