About The Position

Carefully Caring Home Care is seeking a full-time Client Services Case Manager to join our administrative team. This position plays an important role in supporting our day-to-day home care operations while ensuring excellent client and caregiver experiences. The ideal candidate must be highly organized, able to multitask in a fast-paced environment, and comfortable handling a high volume of phone calls, documentation, and client communication throughout the day. This position may include rotating paid weekend on-call shifts and offers opportunities for advancement within a growing company. A positive attitude, professionalism, strong communication skills, and excellent customer service are essential for success in this role.

Requirements

  • Must have a valid driver’s license, reliable vehicle, active insurance, and safe driving record
  • Must be fluent in English
  • Strong computer skills and working knowledge of Google Workspace products required
  • Strong organizational, typing, and documentation skills
  • Ability to communicate effectively both verbally and in writing
  • Ability to multitask and work efficiently in a fast-paced environment
  • Strong interpersonal and problem-solving skills
  • Ability to work independently and collaboratively as part of a team
  • Ability to maintain professionalism and confidentiality at all times
  • High School Diploma or equivalent required
  • This position requires the use of your own vehicle for work-related responsibilities

Nice To Haves

  • Previous administrative home care experience preferred
  • Working at an office of a home care agency: 1 year (Preferred)
  • Administrative HHAeXchange system: 1 year (Preferred)
  • Administrative home care: 1 year (Preferred)

Responsibilities

  • Handle inbound and outbound phone calls professionally and efficiently
  • Provide excellent customer service to clients, caregivers, referral sources, and team members
  • Contact new clients and assist with intake and insurance-related information
  • Complete client wellness checks and periodic in-home visits
  • Document all client interactions and encounters within company systems
  • Maintain accurate electronic filing, documentation, and communication records
  • Assist with six-month client renewals and care plan updates
  • Monitor client satisfaction and ensure services are being provided appropriately
  • Support compliance efforts in accordance with state, federal, and company requirements
  • Work closely with supervisors and administrative staff to resolve client or caregiver concerns
  • Assist with tracking and maintaining client and caregiver documentation
  • Communicate with insurance companies regarding client information and service-related issues
  • Ensure clients are receiving authorized ADLs and IADLs listed within their care plans
  • Support general office operations and administrative tasks as needed
  • Participate in rotating paid weekend on-call coverage as needed
