About The Position

A growing wealth management firm is seeking a Client Service Specialist (CSS) to support both client-facing and internal operations. CSS team members are cross-trained across multiple functions within a centralized service team focused on delivering a premium client experience.

Requirements

  • 1+ year of experience in a client service or administrative role
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite
  • Ability to manage competing priorities in a fast-paced environment
  • Excellent communication, problem-solving, and interpersonal skills
  • Resourceful and able to work independently

Responsibilities

  • Manage scheduling, calendar coordination, and meeting reminders for the advisory team
  • Prepare pre-meeting materials including agendas, slide decks, and reports
  • Support new client onboarding — documentation, account setup, and process introduction
  • Handle CRM data entry, account paperwork, and processing
  • Serve as the primary front-office contact — phones, visitors, and general inquiries
  • Oversee daily office operations: mail, supplies, vendor relations, and facility coordination
  • Maintain communication records and ensure timely follow-up
  • Support leadership with administrative tasks and internal projects
