About The Position

Oakridge Veterinary Clinic is hiring a Client Service Representative (CSR) / Veterinary Receptionist. This full-time, entry-level position offers hands-on experience in a veterinary hospital, with opportunities to learn about veterinary services, client education, hospital operations, and patient-care support. The CSR is an essential part of the hospital team, serving as the first and last point of contact for clients. Responsibilities include answering phones, coordinating appointments, checking patients in and out, processing payments, and assisting pet owners. The ideal candidate is organized, positive, comfortable in a fast-paced environment, and enjoys helping people and pets.

  • Ability to perform the physical responsibilities associated with a busy veterinary reception environment

Responsibilities

  • Provide friendly, compassionate, and professional service to the clients and patients of Oakridge Veterinary Clinic
  • Welcome clients and patients to the hospital and create a positive first impression
  • Answer incoming calls, determine client needs, and direct calls to the appropriate team member
  • Respond to routine questions about hospital services and general pet-care information within your training and role
  • Follow established hospital protocols when clients report urgent or acute symptoms and connect them with the appropriate medical team member
  • Remain calm and reassuring when assisting distressed or concerned pet owners
  • Schedule appointments and collect necessary information about patients and their owners
  • Prepare records, forms, estimates, consent documents, and other materials before appointments when possible
  • Check clients and patients in for appointments
  • Support the patient discharge process and ensure required information is complete
  • Schedule follow-up appointments and update future reminders as needed
  • Provide clients with medications and discharge instructions prepared or approved by the medical team
  • Enter charges, collect payments, make change, and process credit card transactions
  • Assist with cash drawer reconciliation and end-of-day transactions
  • Help clients with approved over-the-counter pet-care products and merchandise
  • Maintain accurate client and patient information
  • Assist the treatment team with responsibilities such as animal restraint and patient check-in after completing appropriate training
  • Support hospital projects and administrative responsibilities as assigned
  • Keep the lobby, reception area, pharmacy, and exam rooms clean, organized, and welcoming
  • Assist with maintaining treatment areas when needed
  • Recognize when questions or concerns need to be escalated to the appropriate team member
  • Collaborate with fellow CSRs and other hospital departments to find appropriate solutions for clients and patients
