This role is a primary point of contact for clients and serves as the welcoming face of the office, delivering an exceptional and professional experience. The Client Service Associate supports financial advisors with high-level administrative and operational tasks, coordinates client meetings, manages account and service requests, and ensures smooth office operations. This role is an On-site position. In the spirit of pay transparency, we are excited to share the hourly pay rate for this position is $24.00 to $25.00/hr (roughly $50,000.00 to $52,000.00 annually), exclusive of bonuses and benefits. Requirements

  • Customer service training, knowledge, or experience
  • Proficient in QuickBooks, creating P&Ls, and balancing the books
  • Ability and willingness to learn financial concepts and products
  • Capability to prioritize work, meet deadlines, and remain flexible under pressure
  • Strong team orientation and interpersonal skills
  • Ability to learn WEG’s sales model, processes, and procedures
  • Proficiency in understanding financial product features and riders, and the review process
  • Superior attention to detail and problem-solving skills
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office Suite or related software
  • Familiarity with Salesforce and Support Org functionality
  • AI literacy, including the ability to use AI tools, evaluate AI-generated content, and adapt to evolving technologies

Responsibilities

  • Greet clients and ensure the office is clean and welcoming
  • Schedule meetings with product vendors and sponsors
  • Manage and distribute mail, and coordinate overnight mail deliveries
  • Manage QuickBooks, create P&Ls, and balance the books
  • Order office marketing materials and printer supplies; coordinate printer maintenance with vendors and Technology
  • Ensure accurate completion of prospect and new client paperwork and setup
  • Follow up on funds transfers from surrendering companies
  • Maintain the CRM database and client files, including filing, copying, and data input
  • Research and follow up on any issues with the Broker/Dealer, WEG Operations, and vendors
  • Record incoming assets to the appropriate tracking tools
  • Engage in dialogue with clients to understand their personal history and financial needs
  • Prepare account transactions, including trades, deposits, withdrawals, and required minimum distributions
  • Communicate with clients to assess requests, determine necessary actions, escalate to advisors, or handle issue resolution, including death claim processing
  • Liaise with clients' tax or legal counsel as needed
  • Gather client data and prepare materials for meetings and reviews
  • Conduct tax research (e.g., 1099 forms)
  • Complete review follow-up tasks as required
  • Demonstrate knowledge of, and execute within, WEG’s Suitability Guidelines, operational processes, and sales model
  • Understand financial terminology and product offerings
  • Exhibit working proficiency with annuities, mutual funds, separately managed accounts, fixed income, stocks, options, alternative investments, and charitable giving practices
  • Attend client services and company educational events
  • Participate in vendor presentations as appropriate
  • Support advisor team operations to improve processes
  • Complete operational projects that enhance or change team procedures
  • Communicate process and sales updates to the team
  • Mentor and train Client Service Associates
  • Manage vendors to agreed Service Level Agreements
  • All other duties as assigned.
