About The Position

At RFG Advisory, we help independent financial advisors deliver exceptional client experiences. This role is ideal for someone who combines empathy for clients with a natural instinct to streamline processes, leverage technology, and operate with precision in a highly regulated environment. The Client Service Associate will serve as a primary point of contact for client service needs, guide clients through account updates and portal access, and build trust through consistent follow-through and thoughtful communication. This role also involves operations and process excellence, including opening and maintaining client accounts, preparing documentation for client meetings, identifying inefficiencies, and maintaining accurate data in Salesforce. Additionally, the role includes coordination and execution of tasks such as scheduling meetings, drafting client communications, and supporting new client onboarding. Compliance and standards are crucial, requiring adherence to procedures and maintaining accurate records. A significant part of the role involves office management for the St. Louis office, including opening and securing the office, overseeing common areas, managing mail and check deposits, replenishing supplies, and supporting office readiness for events.

Requirements

  • Experience in financial services (wealth management preferred)
  • Exposure to multi-custodial environments is a plus
  • Familiarity with CRM systems (Salesforce preferred) and Microsoft Office
  • Strong written and verbal communication skills

Responsibilities

  • Serve as a primary point of contact for client service needs—handling requests with care, urgency, and professionalism
  • Guide clients through account updates, portal access, and general inquiries with clarity and empathy
  • Build trust through consistent follow-through and thoughtful communication
  • Open and maintain client accounts across custodial platforms with accuracy and attention to detail
  • Prepare documentation and materials for client meetings
  • Identify inefficiencies and proactively suggest improvements to workflows and systems
  • Maintain clean, accurate data in Salesforce and related systems
  • Schedule meetings, manage calendars, and support client events
  • Draft polished client communications and handle administrative workflows
  • Support data gathering for new client onboarding
  • Follow established compliance and operational procedures with rigor
  • Maintain accurate records and documentation aligned with regulatory requirements
  • Operate with a high level of integrity, discretion, and professionalism
  • Serve as the primary point of contact for day-to-day operations of the St. Louis office.
  • Open, maintain, and secure the office to ensure a professional, welcoming environment for advisors, clients, and guests.
  • Oversee kitchen, lobby, and common areas to ensure cleanliness, organization, and readiness throughout the day.
  • Manage incoming and outgoing mail, including processing and documenting check deposits in coordination with internal teams.
  • Monitor and replenish office, kitchen, and lobby supplies; place routine supply and beverage orders with approved vendors.
  • Proactively identify facilities, supply, or operational needs and coordinate timely resolution.
  • Support office readiness for meetings, events, and visiting advisors or clients.
