About The Position

Client Relations Associate will be responsible for delivering exceptional client service, supporting advisors, and ensuring smooth day-to-day operations. This role serves as a primary point of contact for clients, helping maintain strong relationships while ensuring accuracy, responsiveness, and compliance in all client interactions.

Requirements

  • Bachelor’s degree in business, finance, or related field, or recent graduate
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)

Nice To Haves

  • Experience in financial services, wealth management, or client service is a plus
  • Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra.
  • Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.

Responsibilities

  • Serve as a primary contact for client inquiries and service requests
  • Build and maintain strong client relationships through proactive communication
  • Assist clients with account-related questions, paperwork, and follow-ups
  • Coordinate client meetings, including preparation and post-meeting follow-up
  • Prepare and process new account applications and onboarding documentation
  • Handle account maintenance requests (transfers, distributions, beneficiary updates, etc.)
  • Monitor account activity and ensure timely execution of transactions
  • Maintain accurate client records in CRM and custodial platforms
  • Support advisors in meeting preparation, including performance reports and financial planning materials
  • Generate client reports and assist in portfolio review preparation
  • Track and follow up on outstanding client action items
  • Assist with implementation of financial plans and investment recommendations
  • Ensure all activities comply with SEC/FINRA regulations and firm policies
  • Maintain organized client files and documentation (digital and physical)
  • Assist with compliance audits, reporting, and documentation requests
  • Identify process improvement opportunities to enhance efficiency
  • Coordinate with custodians, third-party providers, and internal teams
  • Manage task workflows and deadlines to ensure timely service delivery
  • Support special projects and operational initiatives as needed
