About The Position

This is not a generic call center role. As a Client Relations & Order Specialist, you will act as the vital bridge between our business-to-business (B2B) clients, our production floor, and our logistics/shipping teams. You will handle complex orders from inception to delivery, resolving technical inquiries, managing client expectations, and ensuring precise data entry.

Requirements

  • Experience: 2–3+ years of dedicated customer service, account coordination, or inside sales support within a manufacturing, distribution, or logistics environment (highly preferred).
  • Technical Aptitude: Ability to quickly learn and understand a highly technical product catalog, part numbers, and specialized specifications.
  • Software Savvy: Proficiency with MS Office (particularly Excel) and hands-on experience using ERP or CRM software (such as NetSuite, Salesforce, SAP, or QuickBooks).
  • Problem-Solving Skills: Ability to navigate stressful situations, manage multiple priorities simultaneously, and make practical decisions under tight deadlines.
  • Local Presence: Ability to work reliably in-office at our Simi Valley facility Monday through Friday.

Responsibilities

  • Act as the primary point of contact for domestic and international B2B client accounts via phone and email.
  • Accurately process and enter purchase orders, verifying pricing, inventory availability, shipping specifications, and Lead times.
  • Coordinate directly with Production, Quality Control, and Shipping/Logistics to track order statuses and proactively communicate updates or potential delays to clients.
  • Handle complex customer inquiries, including product application assistance, returns (RMA processes), warranties, and billing/invoice discrepancies.
  • Maintain clean data integrity within our ERP system [insert system, e.g., NetSuite/QuickBooks].
  • Provide professional, empathetic, and solution-oriented support to maintain high-value client relationships.
