About The Position

Responsible for acquiring medical records and treatment information from area hospitals / providers. Monitors and maintains all communication for enterprise HIM department including phones, faxes and emails. Daily tasks include but are not limited to; Record Auditing; regularly reviews patient/client records and related documentation; HIM phone bank coverage; daily verification of “Batches” received from clinical sites; monitoring outstanding hospital discharge information; communicating with Centerstone clinics to ensure that continuity of care documentation is available in the client’s Electronic Health Record (EHR); supplying back-fill for HIM department needs. The role of the Client Records Technician is responsible for prompt, compliant, consistent, efficient delivery and retrieval of release of medical records. Responds to any and all verbal and written requests for information and documents in required turnaround times. Manages multiple department email distribution groups: CFL – Central Intakes, CFL Central Records Support, CFL - HIM Auditing, CFL - Central Med Records. Effectively communicates with all internal and external customers. Collaborates with internal departments and healthcare providers to ensure the accuracy of medical records. Updates and reviews medical records by reviewing information, notifying health care providers of record deficiencies and tracking outside records. Scans, indexes and quality reviews documents not entered into EMR. Follows established Centerstone and department policies, procedures, objectives, performance improvement, attendance, safety, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality. Maintain Health Insurance Portability & Accountability Act (HIPAA), Federal and State standards regarding insuring proper disclosure of Protected Health Information (PHI).

Requirements

  • High School diploma or equivalent is required.
  • Effectively communicate via written, verbal, in person and virtual methods.
  • Good organizational skills and detail oriented.
  • Advanced experience with computers, i.e. data entry, Microsoft programs.
  • Proficient in medical terminology.
  • Comfortable collaborating with all customers.
  • Ability to perform under pressure.
  • Ability to manage multiple assignments.

Nice To Haves

  • Two years’ experience in medical records management or related area preferred.
