Requirements

  • High school diploma/GED required
  • 1-3 years’ experience as an administrative assistant or similar administrative role.
  • Availability for overtime as needed during busy seasons.
  • Willingness to travel approximately <5%.

Nice To Haves

  • Some college preferred.
  • Client-centered service orientation and professional communication with internal and external clients.
  • Proficiency in Microsoft 365 and ability to learn CRM, workflow, electronic signature, portal, document-management, and practice-management platforms.
  • Strong organization, prioritization, proofreading, records accuracy, and follow-through.
  • Sound judgment and discretion when handling confidential and sensitive information.
  • Ability to collaborate in a queue-based, deadline-driven, one-firm environment.
  • Ability to follow documented procedures, identify exceptions, and escalate appropriately.

Responsibilities

  • Serve as the first point of contact for clients, managing inbound calls, inquiries, and service requests with professionalism and timely follow-up.
  • Coordinate client onboarding, engagement setup, and maintenance of client records, accounts, and CRM data.
  • Prepare, track, and manage engagement documents, proposals, agreements, reports, and other client-facing materials.
  • Monitor service requests and client support activities, ensuring accurate documentation, issue resolution, and escalation when needed.
  • Collaborate across teams to deliver a seamless client experience while maintaining compliance with firm policies, quality standards, and operational procedures.
